Summary: The Reception/Office Administrator plays a vital role in ensuring the smooth and efficient operation of the lobby. This position serves as the first point of contact for visitors and clients, fostering a welcoming and professional atmosphere. The role reports to human resources and involves managing administrative duties such as scheduling interviews, maintaining records, maintaining orientation folders, processing invoices, tracking attendance, assisting with employee engagement activities, and managing office supplies — all of which support the team’s productivity. Ultimately, this role significantly contributes to the organization's overall effectiveness by maintaining order and supporting daily office functions.

Responsibilities

  • Greet and assist visitors and clients in a professional and courteous manner.
  • Ensure the reception area is tidy, organized, and presents a positive image of the company.
  • Operate the switchboard (i.e., incoming calls, contacting visitors’ appointments).
  • Sort and deliver all incoming mail and process outgoing mail
  • Manages attendance calls, occurrences, and corrective actions
  • Maintain communication via E-Mail, and BrightSigns
  • Manage the monthly Newsmeister Newsletter (Canvas)
  • Maintain SAP/ADP (data entry)
  • Audits – SAP/ADP
  • Maintain and update orientation folders
  • Schedule Interviews
  • Assign lockers to new hires and maintain the locker assignment spreadsheet
  • Manage the uniform program
  • Create employee ID badges
  • Process HR invoices and expenses
  • Process safety shoes and safety glasses reimbursements
  • Order Supplies, maintain inventory, and organize the stockroom
  • Schedule and coordinate meetings and travel accommodations as needed
  • As the Concur Administrator, serve as the first point of contact for support, assist with questions, and set up new employees with accounts.
  • Data entry may be required to support regulatory compliance for various permits, licenses, and environmental reports (facilities)
  • Additional duties as assigned
