About The Position

Role: Responsible for reviewing, auditing, and ensuring the accuracy and completeness of closed mortgage loan files. Ensure all documents meet investor, agency, and internal compliance requirements before final delivery or funding. Manage trailing documents, record retention, and resolve any post-closing issues that arise.

Requirements

  • Experience: One year to three years of similar or related experience.
  • Education: A high school education or GED.
  • Interpersonal Skills: Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.
  • Other Skills: Strong communication, organization, and attention to detail; ability to manage multiple deadlines and priorities. Ability to interpret mortgage/real estate documentation and identify exceptions. Proficiency with office equipment and systems (computer skills, document imaging/indexing).

Responsibilities

  • Review closed mortgage files for accuracy and compliance, identifying discrepancies and ensuring all documentation meets agency, investor, and internal QC standards prior to shipping. Ensure all required signatures, notarizations, and documents are properly executed.
  • Manage post-closing financial activities, including processing incoming and outgoing funds, balancing general ledger entries, and completing accurate loan boarding from Encompass to the core system.
  • Upload and index all final closing documents into the loan origination and imaging systems.
  • Ship or deliver closed loan packages to MMS within established timelines.
  • Track and obtain missing or trailing documents, including final title policies and recorded security instruments.
  • Clear deficiencies noted by investors, custodians, or quality control reviews.
  • Complete required registrations and transfers (e.g., MERS, assignments) when applicable.
  • Serve as a point of contact for title companies, settlement agents, and internal partners to resolve post-closing items and provide status updates.
  • Type and submit required notices to government agencies regarding changes to loan documents, including mortgage releases when applicable.
  • Perform other related duties as assigned. Employees shall be trained annually, demonstrate an understanding of, and follow the requirements of the BSA/AML Compliance Program as it specifically relates to their job functions.
