About The Position

This position is located within the Bureau of Standards and Registration of the Division of Condominiums, Timeshares, and Mobile Homes. This in-office position handles filings that are submitted to the Division for review.

Requirements

  • Knowledge of Florida condominium laws, administrative rules, and regulatory procedures.
  • Ability to review and analyze complex legal and financial documents.
  • Ability to conduct research and apply statutory and rule requirements accurately.
  • Skill in drafting clear, concise, and legally sufficient correspondence.
  • Ability to lead, mentor, and provide technical guidance to staff.
  • Strong organizational skills and ability to manage high-volume workloads within statutory deadlines.
  • Proficiency in database systems and records management practices.
  • Three years of experience reviewing condominium or real estate regulatory filings. for accuracy, compliance, or consistency with applicable laws, regulations, or policies
  • Three years of experience drafting professional correspondence, such as letters or reports, and reviewing technical documents for compliance with applicable codes, regulations, or policies.

Nice To Haves

  • Bachelor’s Degree from an accredited college or university
  • Associate degree from an accredited college or university and two years of office experience;
  • A high school diploma and four years of office experience;

Responsibilities

  • Training new real estate development specialists, assisting them with more challenging filing reviews, attorney telephone calls, and in-person or digital communications.
  • Communicates regularly with subordinate real estate development specialists individually and in staff meetings to discuss and review filings, aid in analyzing more complex review issues, and lead special projects or any other miscellaneous duties for which the management team requires assistance.
  • Examines termination and condominium documents filed with the division for proper format and substantive content and to determine whether such documents conform to the requirements of applicable statutes and rules.
  • Conducts such examinations within the timeframes required by statute, rule, or bureau procedures.
  • Reading large files, conducting research, and writing letters.
  • Serves as a liaison between the team and management, communicating progress and coordinating with other departments.
  • Prepares deficiency notices, approval letters, documentation relating to filling rejections, and related correspondence, pursuant to applicable statutes and rules, and bureau procedures.
  • Inputs deficiency, response, extension, and approval data into the database.
  • Performs quality control as to project, developer, and managing entity data input by others.
  • Code documents immediately upon approval to facilitate permanent retention.
  • Assist in the research, preparation, and dissemination of information or statistical data to industry members or agency personnel, including responding to verbal and written inquiries for information or documents.
  • Participate in ongoing bureau training programs and section meetings, especially to promote accuracy in comprehension of applicable laws and rules, and consistency between sections and bureaus.
  • Prepare appropriate documentation, upon request, related to compliance of filed or unfiled documents.
  • Adheres to established bureau procedures.
  • Performs other related duties as required.
