About The Position

We’re hiring a motivated real estate administrative assistant to join our growing team. Responsibilities include administrative duties such as keeping track of all transaction documents in the client database for our real estate agents, monitoring and notifying clients of important deadlines, complying with legal procedures, and planning appointments and final walkthroughs. You’ll also support the team by marketing the company on social media and planning company events. The ideal candidate should be a great communicator who is driven and highly detail-oriented. Provide prompt and professional responses to tenant calls, emails, and direct messages Process rental applications, including verifying employment, rental history, and other criteria Show rental properties to prospective tenants when required Maintain tenant files and ensure all lease documentation is properly executed and stored Manage lease compliance processes, including late payment follow-up and coordination of notices or evictions Prepare and track tenant communications regarding payments, fees, and property updates Attend weekly property management team meetings and contribute insights Coordinate utility transfers for vacant properties to protect against weather-related damage Create and track maintenance requests in the CRM and ensure timely completion Perform periodic property visits and inspections, including taking photos, changing lockboxes, and meeting vendors Maintain checklists and update procedures to ensure consistency in Tenant Relations processes Resolve tenant disputes professionally and maintain healthy tenant relationships Provide general administrative support to the property management team as needed Calm and professional demeanor, even during conflict or difficult conversations Highly organized with strong attention to detail Ability to maintain confidentiality and discretion Customer-service oriented with strong follow-up skills
