We are currently seeking a Rate Management Specialist to partner with Pricing, Billing and Practice Management to ensure rate accuracy across the firm’s systems and compliance with outside counsel guidelines.  The ideal candidate is able to identify and implement process improvements that enhance efficiency and accuracy, with a strong attention to detail and a high level of accuracy in data review and analysis. This position can be based in Cincinnati, OH; Indianapolis, IN; or Louisville, KY

Requirements

  • College degree in accounting, finance, or business management is preferred.
  • Minimum five years of experience in legal finance, billing, pricing, or rate administration required.
  • Proficiency in Microsoft Office products such as Word, Excel, Outlook. Knowledge of Aderant Software a plus.
  • Demonstrated ability to identify and implement process improvements that enhance efficiency and accuracy.
  • Strong attention to detail with a high level of accuracy in data review and analysis.
  • Excellent analytical and problem-solving skills.
  • Ability to manage multiple projects simultaneously while meeting deadlines and prioritizing work effectively.
  • Ability to gather data, compile information, and prepare reports.
  • Ability to work independently and collaboratively across functional teams.
  • Strong organizational skills with the ability to set priorities and adapt to changing business needs.
  • Interpersonal skills to communicate professionally and effectively by email, telephone, and in person with attorneys and business professionals.

Responsibilities

  • Assist in maintaining and administering the firmwide billing rate matrix, ensuring accurate rate structures across offices, geographies, practice groups, and timekeeper levels.
  • Ensure client rates are reviewed and updated annually and in accordance with outside counsel guidelines.
  • Review outside counsel guidelines to identify and implement approved rate and cost exceptions.
  • Conduct periodic audits of client rates to confirm accuracy, consistency and timely updates within the firm’s financial and billing systems.
  • Partner with Pricing team to establish and implement non-standard billing rates, client-specific pricing arrangements, and alternative fee structures.
  • Establish and maintain accurate rate structures for new clients and matters during the client intake and file opening process.
  • Prepare, review, and process rate modification requests for clients, ensuring appropriate approvals and accurate system updates.
  • Maintain the firm’s overall rate structure, ensuring consistency across billing platforms and compliance with firm policies.
  • Partner with E-Billing Specialists to support the annual rate review process by updating rates across e-billing sites.
  • Collaborate with Pricing, Billing, attorneys, legal practice assistants, and clients to support proactive annual rate adjustments.
  • Identify opportunities to streamline and improve the firm’s rate management process and procedures.
  • Develop and maintain processes for new rate setup during the new client and matter intake process.
  • Provide operational insights and process improvement recommendations related to flat fee arrangements, alternative fee structures, and new business initiatives in coordination with the Pricing team and attorneys.
