About The Position

We are seeking a reliable and detail-oriented QuickBooks / Administrative Assistant with a minimum of two years of hands-on QuickBooks experience. This role will support both business operations and select personal administrative tasks.

Requirements

  • Minimum of 2 years of proficient QuickBooks experience (required)
  • Prior experience in an administrative assistant or similar support role
  • Strong attention to detail and high level of accuracy
  • Excellent organizational and time-management skills
  • Ability to handle confidential and sensitive information with discretion
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office
  • Experience supporting small businesses or executives
  • Ability to work independently and anticipate needs
  • Experience balancing both professional and personal administrative support

Responsibilities

  • Manage daily bookkeeping activities using QuickBooks, including:
  • Accounts payable and receivable
  • Invoicing and billing
  • Expense tracking and categorization
  • Bank and credit card reconciliations
  • Maintain accurate financial records and assist with monthly reporting
  • Coordinate with external accountants or tax professionals as needed
  • Perform general administrative duties, including:
  • Email and calendar management
  • Document preparation, filing, and organization
  • Data entry and record maintenance
  • Scheduling meetings and appointments
  • Provide administrative support for both business-related and personal tasks, which may include:
  • Managing personal appointments and calendars
  • Coordinating travel arrangements
  • Handling confidential documents and correspondence
  • Assist with special projects/tasks
