About The Position

As the Quality Assurance Documentation Specialist, you will be responsible for reviewing comanufacturer and supplier documentation to ensure compliance with all company, regulatory, quality, and food safety standards. This role oversees documentation across the supply chain, including packaging, raw material suppliers, and USDA manufacturers, ensuring every sourced and produced item meets requirements. You will work closely with suppliers and internal departments to maintain accurate records that support operational excellence and compliance by addressing documentation issues and conducting audits.. This role reports directly to the Senior Manager, Quality Engineer.

Requirements

  • You have 2-3 years of food safety and quality documentation experience in TraceGains
  • You have advanced proficiency in Microsoft Word and Excel, along with strong overall computer skills and a proactive approach to learning new software.
  • You have exceptional writing skills and can communicate ideas clearly and effectively.
  • You are highly detail-oriented, ensuring accuracy in data entry and document management.
  • You excel at organizing and multitasking, efficiently prioritizing tasks to meet deadlines.
  • You bring experience in document control or data management, ideally within the Food & Beverage industry.
  • You communicate with clarity and confidence, providing timely updates to stakeholders at all levels.
  • You are a self-starter who effectively manages multiple projects efficiently and you thrive in fast-paced, ambiguous environments, driven by curiosity and a proactive mindset.
  • You take ownership of your work, demonstrating strong problem-solving skills and attention to detail.
  • You simplify complex information, making it easy for others to understand and act on.
  • You have a passion for dogs!

Responsibilities

  • Oversee the collection, organization, review, and retention of all supplier documentation.
  • Serve as the primary point of contact for suppliers, ensuring consistency by proactively identifying and addressing any discrepancies.
  • Perform regular reviews of documents to ensure they are accurate, up to date, and compliant to all regulatory and TFD requirements.
  • Partner closely with internal operations groups including manufacturing, supply chain, and procurement to support various projects and process improvements.
  • Track and report weekly and monthly compliance metrics to supplier quality scorecard.
  • Collaborate across departments to ensure smooth operations and effective issue resolution.
  • Develop deep expertise in the document management system and serve as a key resource for the team.
  • Ensure documents are properly stored, updated, and any gaps are communicated internally
