Job Description: Quality Assurance Coordinator – Core Lab Location: Port Jefferson, NY Schedule: 5/8.5 Hour Shifts Mon-Fri Organization: New York Cancer and Blood Specialists (NYCBS) In This Role, You Will:

Requirements

  • Education: Bachelor’s Degree in Clinical Laboratory Science preferred.
  • Experience: Minimum of two years of clinical or related field experience, or equivalent combination of education and experience.
  • Skills: Proficiency in Word, Excel, and overall computer skills.

Responsibilities

  • Develop and implement Standard Operating Procedures (SOPs) to ensure efficiency, consistent performance, and compliance with state regulations, while minimizing miscommunication.
  • Apply for and maintain CLIA and CAP certifications as required.
  • Oversee the annual renewal of CAP proficiency and confirm that lab staff are proficient in conducting and reporting CAP proficiency samples.
  • Ensure that all satellite offices meet CAP standards.
  • Identify, document, and communicate any discrepancies or concerns to lab staff and the QA/QM supervisor.
  • Verify accurate reporting of quality control data for all lab instruments and manual tests.
  • Ensure completion and documentation of daily, weekly, monthly, and as-needed maintenance procedures.
  • Maintain accurate and up-to-date temperature and centrifuge logs.
  • Ensure timely calibration of lab instruments.
  • Confirm staff compliance with new QC or reagent lot installations.
  • Train and verify that satellite lab staff comply with all laboratory quality control and management practices, using tools like training checklists to ensure accurate understanding and documentation.
  • Conduct periodic and random travel to satellite offices to check for adherence to quality control and assurance standards.
  • Coordinate the establishment of new lab offices and standardize operations for efficiency and accuracy.
  • Ensure all lab staff maintain current and complete competencies.
  • Assist with daily lab operations, including specimen processing, when time permits.
  • Be available for mock inspections and organize necessary training sessions.
  • Coordinate QA/QC meetings for office teams.
  • Develop and deliver training programs for new and existing NYCBS/NY Health staff.
  • Ensure ongoing compliance with laboratory policies and maintain high standards of quality assurance.
  • Troubleshoot operational and technical issues as they arise.
  • Assess team training needs and create improvement plans where necessary.
  • Foster positive relationships with new team members to aid their integration.
  • Collaborate with program directors on the development and implementation of new programs.
  • Contribute to the creation and maintenance of laboratory policies and procedures.
  • Plan and prioritize retraining activities for optimal effectiveness.
  • Attend all mandatory meetings and contribute to problem-solving and managing change within the Implementation team.
  • Maintain consistent quality assurance across all NYCBS/NY Health laboratories.
  • Oversee orientation and training of new hires, ensuring full comprehension of SOPs.
  • Conduct follow-up visits to satellite offices to ensure continued compliance with policies and procedures.
  • Standardize workflows across all offices for optimal operation.
  • Introduce and implement new ideas to improve daily lab operations.
  • Teach lab staff effective time management skills to reduce overtime while maintaining quality and safety standards.
  • Oversee the onboarding of new lab locations, ensuring smooth integration of procedures and workflows.
  • Report any issues to the QA/QC Supervisor.
  • Assist with clinical training at the Ramsey or MSK training facilities, including refresher courses for student externs.
  • Additional responsibilities may be assigned in response to new specialties and increasing patient volumes.
