The Quality Assurance Associate is responsible for auditing participant files to be sure they meet federal, state, and local standards as well as review requests for participant expenses prior to payment or reimbursement for activities across multiple projects and grants. The primary responsibilities for this role will focus on analysis and review of WIOA files for program compliance, accuracy, and completeness of submission. This candidate must have the ability to interact with co-workers across all locations in various roles and, in some cases, compliance and audit professionals at customer workforce boards. An ideal candidate would thrive in a fast-paced environment while remaining flexible, proactive, resourceful, and efficient. The Quality Assurance Associate must be able to maintain a high level of accuracy and confidentiality. This position reports directly to the Director of Quality Assurance. The Quality Assurance Associate is an integral part of our team and will assist us with our mission of accelerating the human condition!

Requirements

  • Associate degree or higher, or an equivalent combination of education and experience
  • 2+ years of accounting experience and knowledge of WIOA contracts/programs preferred
  • Strong computer skills in MS Excel and Google Sheets - experience a plus
  • Ability to work in a dynamic team environment - must have excellent teamwork, communication, and interpersonal skills
  • Ability to work across all levels of management and staff
  • Sharp attention to detail with strong organizational, analytical, research, and critical thinking skills
  • Exceptional time Management skills, ability to meet accounting month-end deadlines, extraordinary ability to multitask, be proactive, and demonstrate an ability to work independently and in a virtual team environment
  • Ability to work independently on routine tasks
  • Must be able to meet deadlines and work under pressure, including the ability to perform and complete a high volume of work assignments with speed and accuracy, work cooperatively with others, and show courteousness and a high level of professionalism
  • Must demonstrate the ability to maintain confidentiality at all times, handle personnel matters effectively, and handle employee and personnel inquiries with sensitivity, tact, and diplomacy

Responsibilities

  • Monitor and audit participant files to ensure Federal, State and Local policy compliance
  • Ensure expense submissions from various Career Advisors comply with Federal WIOA, State, Local, and corporate policies to prevent disallowed costs
  • Work closely with Project Associates and Executive Directors across projects in the United States, as well as the Workforce Boards, to provide file compliance, guidance, and insight
  • Ensure participant expenditures are entered into state systems and processed in a timely and economic manner in accordance with established policies and budgets within WIOA guidelines
  • Coordinate accounting activities for assigned projects, which include the establishment and monitoring of procedures and policies by contract
  • Monitor project participant financials for various project grants to ensure grants are fiscally managed
  • Support teams across the nation with monthly project invoicing by reviewing supporting documentation and compliance on all participant files
  • Ability to maintain and update multiple spreadsheets and reporting tools within the Google Drive
  • Submit monitoring reports accurately and in a timely manner to the local staff and Workforce board members
  • Support team(s) with audit deliverables and program audit requests
  • Supports growth and program development
  • Approach each day and task with a “Zag” mindset
  • Other duties and projects as needed
