Overview Purchasing Specialist is responsible for supporting business operations by ordering products and materials based upon company guidelines. Duties include maintaining relationships with Suppliers, Vendors or Wholesalers, placing orders for products based on current inventory needs and tracking shipments.

Requirements

  • Excellent written, verbal and interpersonal skills
  • Excel and Word proficiency preferred
  • Works well in a high-pressure environment
  • Self-motivated, goal oriented and proactive.
  • Ability to work both independently and as a team in a fast-paced environment and effectively manage multiple priorities
  • Ability to manage schedules and meet deadlines
  • Must be able to lift and carry 50 pounds while using the appropriate lifting techniques and following all safety rules
  • Clean driving record
  • Travel require, approx. 20%

Responsibilities

  • Fulfill purchase orders and advise associates on standard and appropriate choices
  • Process business card and name plates/badges request
  • Assist with setting up accounts for various services i.e., coffee, water, vending machines
  • Monitor stock levels and identify purchase needs against historic norms
  • Assists in the vendor selection process by researching potential vendors, evaluate offers and negotiate better pricing
  • Track orders to ensure timely, correct delivery and to confirm or change orders as needed
  • Process and maintain records of invoices and contracts and prepare cost analysis reports
  • Inspect received products for quality to ensure adherence to specifications.
  • Assist with furniture planning, ordering, installation and warehousing
  • Assist with maintaining accurate stacking and seating plans
  • Provide further assistance to the General Services Department as needed
  • May perform other duties as assigned
