About The Position

Job Summary: The Purchasing Coordinator processes purchase orders, bids, contracts, and performs the preliminary processing of invoices. Acts as a resource for the Business Services Office and builds effective, strong working relationships to enhance department operations and functions. Essential Duties & Responsibilities: Provide administrative support services to the department in a manner that professionally, cordially, and efficiently assists students, faculty, staff, and visitors Process purchase orders and bids for encumbrance Perform preliminary processing of invoices Review some statements and resolves non-payment issues with vendors and departments Prepare encumbrance documents Prepare Award of Contracts for maintenance/rental and renewals Acquire necessary documentation on individuals who provide temporary services to SWOSU in order that payment can be made Assist in the coordinating of campus receiving of freight items Coordinate with OMES and the State of Oklahoma on vendor setup, W9, Vendor transmission, and resolution of vendor-related issues to ensure compliance with state policies and timely processing Other duties as assigned Competencies: Ability to multi-task, organized, manages time effectively, and keeps tasks appropriately prioritized Remains knowledgeable applicable regulations, policies, and protocols Ability to work with, assist, lead, and take directions from others in the interest of moving processes and programs forward to the desired outcome Work Setting: Reports to Business Services Comptroller Expectation of on-campus presence with attendance and punctuality Promote personal safety, safety procedures, and a safe work environment Employment at will Full-time status 12-month appointment Non-exempt About SWOSU: With locations in Weatherford, Yukon, Sayre, and online degree programs, SWOSU is one of the leading regional universities in the country. Requirements

  • Two years previous work experience in an office environment
  • Utilize Microsoft Office
  • Good written, verbal, basic mathematical, and interpersonal skills

Nice To Haves

  • Bachelor's degree
  • Such alternatives to the above qualifications as the President of SWOSU or their designee may find appropriate
