About The Position

The Purchasing Assistant, also known as Procurement Coordinator, plays a vital role in supporting the purchasing and supply chain team. This position involves administrative, clerical, and coordination activities related to the procurement of raw materials, packaging components, and supplies within a manufacturing environment. The role is responsible for creating and tracking purchase orders, entering and maintaining purchasing records in ERP and inventory management systems.

Requirements

  • Experience in purchasing support, procurement, supply chain coordination, or administrative support.
  • Proficiency in Microsoft Excel, including spreadsheets, reporting, VLOOKUP, and PivotTables.
  • Comfortable working in a manufacturing or production environment.
  • Experience with ERP systems, inventory management, vendor communication, and invoice reconciliation.

Nice To Haves

  • 1-2 years of experience or exposure to purchasing.
  • Familiarity with SAP.
  • Experience in accounts payable coordination.
  • Proficiency in reporting and documentation.
  • Understanding of GMP or regulated manufacturing environments (optional).

Responsibilities

  • Create, update, and follow up on purchase orders.
  • Maintain vendor and supplier information.
  • Prepare purchasing reports and Excel spreadsheets.
  • Support procurement coordination activities to ensure timely delivery of materials for production schedules.
  • Communicate regularly with vendors and suppliers to request quotes, pricing, lead times, samples, and product specifications.
  • Work closely with Accounts Payable to resolve invoice discrepancies and payment issues.
  • Provide administrative support to Buyers and assist with sourcing activities.
  • Track inventory and delivery schedules.
  • Support cross-functional teams including Production, Manufacturing, Quality, R&D, Operations, and Accounting.
  • Ensure accuracy, organization, and follow-through in supporting ERP systems, inventory tracking, documentation, and reporting in a fast-paced, deadline-driven manufacturing setting.
