About The Position

Position Summary: The Purchasing Agent sources, procures, and manages the acquisition of goods and services for an organization, focusing on balancing cost, quality, and timely delivery by evaluating suppliers, negotiating contracts, analyzing prices, and maintaining strong vendor relationships, while also handling purchase orders, tracking shipments, and ensuring compliance. Key duties involve researching products, negotiating terms, managing inventory, and ensuring smooth supply chain operations to support company needs efficiently. This position will also manage company credit cards and approve monthly credit card expense reports. This is a non-supervisory position.

Requirements

  • One year of related experience is required.
  • Solid experience coordinating accounting activities including, accounts payable and receivable, general ledger, payroll, government grants and indirect expense allocations.
  • Strong negotiation, analytical, and problem-solving skills.
  • Excellent communication (verbal/written) and interpersonal abilities.
  • High level of organization, attention to detail, and time management.
  • Proficiency with Microsoft Office Suite and purchasing software.
  • Understanding of supply chain processes and financial data.
  • Willingness and ability to work well with diverse populations, including persons living with HIV, the LGBTQ+ community, persons of various ethnic backgrounds, disenfranchised communities.
  • A Bachelor’s degree in business, accounting or a related field and/or five or more years’ experience with accounts receivable, accounts payable and general ledger operations.
  • Minimum of 2 years of experience as an entry-level Buyer and/or equivalent combination of education and experience required.
  • Excellent communication, client relations and management skills.
  • Highly organized and detail oriented.

  • Must demonstrate accuracy, efficiency and excellent organizational skills.

  • Must have and maintain a valid Colorado driver’s license and auto insurance on personal vehicle.

Nice To Haves

  • Experience with HIV/AIDS preferred.
  • Experience working in a non-profit organization is highly desired.
  • Experience with SAGE 100 software highly desired.

Responsibilities

  • Sourcing & Evaluation: Researching and identifying potential suppliers, evaluating their products, pricing, quality, and reliability.
  • Negotiation: Analyzing price proposals, negotiating contracts, and securing the best possible deals for goods and services.
  • Procurement: Preparing and issuing purchase orders, confirming deliveries, and managing vendor interactions.
  • Cost & Quality Control: Conducting cost analyses, reviewing financial reports, and ensuring purchased items meet quality standards.
  • Relationship Management: Building and maintaining long-term, positive relationships with suppliers and vendors.
  • Record Keeping: Maintaining accurate purchasing records, tracking shipments, and preparing reports.
  • Market Awareness: Staying informed about industry trends, new products, and market changes.
  • Must be able to work in a diverse setting with diverse populations, including persons living with HIV, the LGBTQ+ community, persons of various ethnic backgrounds, disenfranchised communities.
  • Participation in training related to HIV, substance use, harm reduction, trauma informed care and related issues.
