About The Position

The Osher Center for Integrative Health ( OCIH ) is seeking a motivated Executive Assistant to support the Chief Wellness Officer ( CWO ) and senior department staff and faculty. The successful candidate will have multiple years of administrative experience and thrive in a startup environment. About the Osher Center for Integrative Health OCIH supports the professional and personal well-being of our faculty and staff, alongside a well-being service line that promotes personal wellness of our patients, employees, trainees, and community. OCIH is a complex unit of the Senior Vice President for Health Sciences with several locations (Resiliency Center, PEAK Health and Fitness, Skaggs Patient Wellness Center, embedded clinical programs, and The Wellness Bus) and about 25 full-time employees.

Requirements

  • Bachelor’s degree in Business, Finance, Health Care Administration or a related field, or equivalency (one year of education can be substituted for two years of related work experience) required.
  • Two years office management and supervisory experience, demonstrated knowledge of finance and budgeting, and public relations skills required.
  • Demonstrated human relations and effective communication skills are also required.
  • This position is patient-sensitive and must fulfill all associated requirements.

Responsibilities

  • Provides high-level executive support to the Chief Wellness Officer ( CWO ) and the Executive Committee, including managing time-critical, sensitive and/or confidential information
  • Coordinate, manage, and prioritize the CWO’s calendar, which often requires coordination between many U of U senior leaders and regular out of state travel
  • Manage and organize travel and expenses on behalf of the entire department
  • Maintain and develop department policies, systems, and procedures. These incudes, but not limited to, equipment management, marketing lists, and department goal tracking system
  • Support Administrative Director with department payroll, contract management, document management, budget reconciliation, and other central administrative responsibilities
  • Plan, organize and execute a number of high-level events and functions on behalf of the Department
  • Support department communications in collaboration with the marketing manager
  • Act as the program coordinator for the Osher Affiliate Network and the Osher Executive committee. Duties include scheduling meetings, preparing agenda, notetaking, program communications and assuring deadlines are met
  • Support and drive projects to meet strategic and operational objectives to advance the Department’s mission.
  • Use initiative to resolve a variety of complex administrative problems for faculty, staff, and other stakeholders.
  • Supports the department by performing other duties or special projects as assigned by the CWO or Administrative Director
