About The Position

The Provider Maintenance Assistant receives and routes incoming calls, greets visitors and provides general information and assistance to the public. This key individual receives incoming departmental mail and assists in preparation and distribution of provider files. The Administrative Assistant performs routine office support functions, including word processing and filing.

Requirements

  • Bachelor’s Degree.
  • Minimum 2 years of experience in an organizational environment or health industry, preferred
  • Knowledge and experience in multi-line telephone systems preferred.
  • Fully Bilingual.
  • Knowledge of Microsoft Office including Excel (required) Word, PowerPoint and Outlook at the intermediate level at a minimum.

Responsibilities

  • Greets contracted providers and external clients at Central office.
  • Completes data entries, updates information and monitors accuracy applications within the system.
  • Monitors and ensures that credential files are properly completed and current pursuant to expiration date of medical licenses, board certification, professional liability insurance coverage, DEA and other pertinent information per APS policy and timely notifies managers of any issue identified during the process.
  • Collaborates with the Claims Department to improve workflow and overall customer service.
  • Prepares and mail letters to providers regarding expired credentials, on a monthly basis.
  • Helps with the Provider File assemble and mail copy of contracts and welcome letters, after credential.
  • Monitors the faxes and emails received by the department, and is in charge of receiving the correspondence.
  • May help in the preparation and transfer of provider reports and directories to be send to APS Reporting Department and/or external clients regarding credentialing and Re-credentialing.
  • Complies with all guidelines established by the Centers for Medicare and Medicaid (CMS) and guidelines set forth by other regulatory agencies, where applicable.
  • In addition, all other duties assigned by the manager and/or supervisor.
