About The Position

The Provider Coordinator supports the growth of the Valley Health Medical Group by coordinating onboarding requirements for new providers. In addition, the Coordinator collaborates and coordinates all provider activities related to out-reach clinic such as communication, scheduling, and coordination with clinic managers. Partners with key stakeholders (credentialing, practice management, provider, medical staff office, recruitment office, marketing and communication, Ambulatory EPIC and other EPIC departments) to develop and implement a streamlined processes to ensure successful placement, relocation, orientation and integration of new physicians and advanced practice providers. In person meetings and site visits as needed.

Requirements

  • High School Diploma or GED is required.
  • Bachelor’s Degree and one year of healthcare experience, or five years of healthcare experience in lieu of degree, is required.
  • Superior public relations skills with the ability to communicate clearly and professionally, including excellent verbal and written communication skills with the ability to proofread for accuracy.
  • Excellent customer service and interpersonal skills with the ability to engage with all levels of the organization, including administration, physicians, peers and support staff.

Responsibilities

  • Establishes highly effective working relationships with internal customers, physician leaders and all onboarding stakeholder departments to skillfully coordinate onboarding activities across the Valley Health Medical Group.
  • Serves as a resource on global onboarding policies and procedures for newly hired physicians/advanced practice providers, division staff, department staff, and other Valley Health System (VHS) departments.
  • Coordinates and collaborates all provider movement from and to clinics including the outreach clinics and internal transfers.
  • Builds relationships by communicating regularly with new physicians prior to hire, sending welcome emails and other communications to keep the candidate informed about the credentialing progress, onboarding progress, and planning for their initial start.
  • Ensures all administrative and logistical issues have been addressed prior to each new hire start date including, but not limited to, employee ID and access, computer access and training, online training, white coat, employee health, development of an itinerary for their initial start, and creating itineraries for new providers prior to their first day to facilitate completion of onboarding items and escorting them to the meeting locations when appropriate.
  • Periodically checks in with new providers throughout the onboarding process to ensure they are familiar with process and timelines.
  • Sends out surveys to new providers 30 days post hire and 6-month post hire and reports on findings.
  • Schedules regular meetings with department contacts to report on onboarding and off boarding activities.
  • Revises onboarding and off boarding checklists as needed.
  • Solicits and incorporates ideas to expand our best practice onboarding initiatives.
  • Collaborates with director to ensure onboarding resources are continually updated, including forms, websites, onboarding resources, and other department material.
  • Exhibits a welcoming, customer service focused attitude in all interactions both internal and external to the organization.
  • Seeks out new ideas and best practices in physician onboarding and incorporates them into the organization’s onboarding efforts.
  • Serves as an expert on any committee for Provider Onboarding.
  • Assists with updating and maintaining recruitment reports with potential start dates for new providers based on VHS requirements. Reporting includes a variance between onboarding and off boarding.
  • Participates in other duties and responsibilities as assigned in order to support a smooth onboarding process for physicians and advanced practice providers.
  • Responsible for retention of providers in their first year of employment.
