About The Position

Provide protocol planning and execution support for high-level visits, ceremonies, conferences, and events at NATO HQ SACT. You will serve as a protocol subject matter expert, manage VIP schedules and databases, coordinate with local authorities, and use event/protocol software tools to deliver polished engagements in an international environment.

Requirements

  • Experience in an international military/government protocol environment and planning high-level events (preferably NATO).
  • College degree (or equivalent); 5+ years of relevant protocol experience may substitute for degree.
  • Strong organizational, scheduling, and communication skills; able to manage complex calendars.
  • Experience with electronic registration and protocol/event planning tools (e.g., Cvent, SocialTables) and database tools (e.g., MS Access).
  • Professional demeanor suitable for an international environment; ability to work independently and proactively.
  • Fluent English (written and oral); additional language (French) is a plus.
  • Citizen of a NATO member nation; active or eligible for NATO/National SECRET (or higher) clearance; valid NATO nation passport.
  • Ability to complete the NATO Protocol Course (NATO School Oberammergau) within the first six months (required).

  • Formal protocol training (Protocol Officer Course) and/or external NATO protocol course certificate.
  • Experience supporting Flag/General Officers or equivalent senior leaders.
  • Portfolio/Programme/Project management training.

Responsibilities

  • Serve as liaison with local authorities and external partners for protocol activities.
  • Plan, prepare, and execute conferences, seminars, ceremonies, and VIP visits.
  • Manage VIP databases, biographies, and records; maintain official reference materials.
  • Develop and execute distinguished visitor (DV) programmes and detailed schedules.
  • Meet and escort dignitaries and visitors as required; ensure appropriate ceremonial execution.
  • Advise and train staff on diplomatic customs, precedence, and NATO protocol standards.
  • Support protocol planning software (e.g., Cvent, SocialTables, seating plan tools) and related databases.
  • Work outside normal hours as required (evenings/weekends) and travel frequently in support of events.
