To learn more about us, please visit www.bernardowills.com . Summary We are currently seeking a Proposal Coordinator to join our team who can make immediate contributions to our overall team success. Candidates for this position will help shape firm pursuit strategy by contributing creative ideas during the SOQ/RFQ planning sessions and developing compelling, client-focused narrative content. You will manage the full production process including coordinating with consultants, internal teams, and the Digital Content Coordinator to assemble graphics, verify information, and ensure all materials meet strict submission deadlines. This role maintains and updates resumes, project sheets, boilerplate content, and the firm’s CRM to ensure accurate, accessible information for future pursuits. Throughout each proposal, you will provide creativity, technical writing, organization, and quality control while incorporating constructive feedback to deliver polished, professional submissions.

Requirements

  • Preferred associate or bachelor’s degree in marketing, communications, journalism, architecture, or related field.
  • 2-4 years of increasingly responsible, related experience in A/E/C marketing, proposal writing, or professional services (architecture, engineering, construction).
  • Familiarity with SOQ/RFQ processes is highly preferred.
  • Strong writing and edition skills, with the ability to craft clear, compelling narrative content.
  • High proficiency in Adobe InDesign and Microsoft Office Suite.
  • Ability to manage multiple deadlines, coordinate with multidisciplinary teams, and thrive in fast-paced, detail-driven environment.
  • Strong organizations skills for managing project data.
  • Ability to give and receive constructive feedback and make iterative improvements to proposal materials.
  • Familiarity with architecture/engineering terminology, project types, and industry standards preferred.
  • Ability to work full-time, in -office position at our office in Spokane, Washington.
  • Remote work and sponsorship are not available for this position.

Responsibilities

  • Contribute creative ideas to the SOQ/RFQ strategy sessions.
  • Coordinate the production of the SOQ/RFQ document with consultants, team members, professional staff, and Digital Content Coordinator to ensure strict submittal deadlines are met.
  • Collaborate with and interview project teams to capture their expertise and shape it into persuasive, pursuit-specific messaging.
  • Write compelling narrative content tailored to clients, project types, and selection criteria.
  • Maintain up to date resumes, project sheets, and proposal boilerplate materials.
  • Manages the acquisition, organization, and compilation of all project information and entry into the CRM.
