About The Position

OPEX is seeking a personable, diligent, analytical, and detail-oriented individual for the full-time position of Proposal Coordinator focused on contract administration within OPEX’s fast-paced, results driven Legal Department. This role collaborates regularly with OPEX’s Sales, Service, and Accounting/Finance teams, as well as other internal stakeholders and OPEX customers. The Proposal Coordinator is a key member of the Legal Department, providing high-quality contract administrative support to various OPEX Department(s). This position is full-time non-exempt, and reports directly to the Director of Legal Affairs for the DMA Division. This position is based in OPEX’s Moorestown, NJ office. The successful candidate may work remotely one (1) day per week, subject to business needs and workload.

Requirements

  • Bachelor’s degree and/or equivalent job experience
  • 1-3 years of prior work experience in a professional or corporate work environment
  • Prior experience in contract administration, project coordination, legal support, and/or commercial or government procurement support is desirable
  • Excellent written and verbal communication skills, with an ability to effectively interface with OPEX’s Sales, Service, and Accounting/Finance departments, other departments, and customers
  • Proficient in Microsoft Office and Office 365 applications
  • Detail-oriented, highly organized, and strong time-management skills
  • Ability to read, analyze, and interpret proposals, and customer prepared documents
  • Ability to manage multiple projects and competing deadlines in a fast-paced environment
  • Able to work effectively both independently and as part of a team
  • Proactive, solutions-oriented, and results-driven, with a strong sense of ownership and collaboration

Nice To Haves

  • Prior experience in contract administration, project coordination, legal support, and/or commercial or government procurement support is desirable

Responsibilities

  • Review, edit and process product sales and service proposals, and respond to related customer correspondence for both commercial and government customers;
  • Coordinate the collection of interdepartmental information and support the preparation of OPEX’s written bid responses, including preparing internal supporting documentation to ensure complete and well-organized bid response files
  • Prepare maintenance contracts, confidentiality agreements and other contract documentsfor both commercial and government customers;
  • Manage commercial and government customer administrative deliverables, such as certificates of insurance, registrations, forms, onboarding packages, questionnaires and SAM.gov-related registrations and annual renewals;
  • Track sales proposals and summarize bid responses;
  • Prepare and submit periodic reports of governmental sales;
  • Updates standard proposal and contract templates
  • Routinely communicate with external commercial and government customers on administrative/status matters (e.g., certificates of insurance, registrations, forms, questionnaires, submission confirmations); and
  • Perform other duties as assigned
