About The Position

The Proposal Administrator II, under general supervision, provides advanced support for the preparation, review, and submission of research proposals. The role ensures all proposal components meet sponsor, institutional, and regulatory requirements prior to submission. Work hours: Monday to Friday from 8 AM to 5 PM or as work requirements indicate. The position may require work responsibilities outside regular business hours; work hours may vary during peak season. This position is a full-time, on-campus position.

Requirements

  • Education – Bachelor’s degree or equivalent combination of education and experience.
  • Experience – Two years of related experience in a university or business environment performing duties related to accounting and/or developing budgets, and/or project management, and/or proposal administration including proposal preparation and/or identifying potential sponsor/funding opportunities.
  • Knowledge, Skills, Abilities Knowledge of – Knowledge of word processing, spreadsheet, and database applications.
  • Ability to – Ability to multitask and work cooperatively with others. Interpersonal and organizational skills.

Responsibilities

  • Supports researchers and principal investigators in preparing and submitting proposals by identifying sponsor requirements and developing proposal budgets, forms, and supporting documents in accordance with institutional and sponsor guidelines.
  • Prepares, reviews, and assembles proposal packages with minimal supervision, ensuring all required materials are complete, accurate, and compliant prior to forwarding to the sponsor.
  • Reviews proposals for compliance, including sponsor guidelines, institutional policies, allowable costs, and formatting or submission requirements.
  • Collaborates and communicates with researchers, department chairs, unit administrators, deans, directors, and other stakeholders to resolve proposal-related issues and provide guidance as needed.
  • Analyzes program announcements, RFAs, and sponsor guidelines to determine key proposal requirements and timelines with limited direction.
  • Enters and maintains proposal information in required internal submission and financial systems accurately and in a timely manner.
  • Prepares proposal revisions, assists with resubmissions, and responds to internal or sponsor requests regarding proposal submissions.
  • Develops foundational knowledge of research administration practices, sponsor policies, and regulations relevant to proposal preparation and submission.
  • Supports the organization and execution of ORI engagement, outreach, and networking events for faculty, including event logistics and communication coordination
