The Property Financial Supervisor plays a crucial role in supporting our financial operations by accurately maintaining financial reports and ensuring compliance with accounting principles and regulations. The Property Financial Supervisor serves as the primary leader and subject-matter expert for the Financial Specialist team. They provide direction, oversight, and support across accounts payable, accounts receivable, and month-end financial processes for Property Financial Specialists ensuring consistency, accuracy, compliance, and continuity of financial operations across the portfolio. This role acts as the bridge between Property Financial Specialists, Regional Management and Support Teams. Your efforts with rent collection and managing delinquencies will directly impact the financial objectives of the property.

Requirements

  • Must have or obtain within 120 days of hiring a leasing license or broker’s license as required by license law.
  • Knowledge of landlord tenant laws
  • General knowledge of accepted accounting principles
  • Knowledge of accounts payable and receivable processes
  • Excellent attention to detail and organizational skills
  • Strong computer skills, including knowledge of Yardi, Microsoft Office 365 (Excel, PowerPoint, Word, and Teams)

  • Prior Community Manager experience preferred

Responsibilities

  • Conduct all business in accordance with The Habitat Company's policies and procedures, Fair Housing, Americans with Disabilities Act and all other laws pertaining to apartments
  • Ensure monthly financial reporting for all assigned properties is accurate, complete, and submitted timely in accordance with PMA deadlines.
  • Support and train team members on: Rent Collection policies Vendor Compliance Invoice processing and Payscan functions Accounting month end process Budget support and training
  • Serve as the lead for operational financial support and training for Area Managers and Community Managers, as needed.
  • Act as the primary lead supporting Conservice utility reporting and billing management.
  • Lead and drive consistent utilization of the purchase order process in accordance with established best practices.
  • Establish and maintain best practices and consistency in property-level service contract tracking.
  • Establish and maintain best practices and consistency in delinquency management across the portfolio.
  • Establish best practices that streamline consistency and efficiency for general ledger allocation, variance reporting, and invoice coding across the portfolio.
  • Coordinate operational and financial backup coverage during periods of staff vacancies, planned time off, or extended absences, ensuring continuity of financial operations, reporting, and compliance across assigned communities.
  • Serve as the lead for vendor compliance and monitoring in coordination with Procurement and Compliance support departments.
  • Work closely with the accounting team to ensure accurate and timely monthly financial reporting for assigned properties.
  • Enforce rent collection policies and procedures across assigned communities.
  • Pull required reports to ensure all rents are collected and adhere to policies & procedures as it relates to posting late fees, sending notices, and handling the eviction process.
  • Responsible for initiating vendor approvals
  • Responsible for entering all property purchase orders, invoices and payables per the policies and procedures.
  • Review statements from AP vendors to ensure timely payment of invoices.
  • Manage the accounting month end process; including the AME checklist, accruals and re-class spreadsheet, and confirming the GPR for next month’s rent billings.
  • Manage the final account settlement process per the policies and procedures.
  • Manage the preliminary financial review process in coordination with the Area Manager or Community Manager
  • Prepare the variance report for final review and approval by the Area Manager or Community Manager
  • Work closely with Area Manager or Community Manager to accomplish community objectives and financial obligations.
  • Assists with annual budgets for each upcoming year and making recommendations on income and expense allocation
  • Any other duties as assigned
