Advancing healthcare with heart Job SummaryJob Code: N91410 Effective date 1/8/2026 V1 Approved by Nancy LeClairJob Details/ResponsibilitiesThe Promotional Review Specialist is responsible for managing the Advertising and Promotional Material Review/Approval Process (A&P Review Process) and will be a contributing member of the Communications & Brand Experience team. The Promotional Review Specialist will provide day-to-day management of the review process ensuring that all promotional and non-promotional material produced and used in the commercial support of products meet company, regulated bodies and industry standards per the A&P Review Process Standard Operating Procedure (SOP). Will drive the A&P Material Review/Approval Process while ensuring all participants are fulfilling their roles and responsibilities to maintain compliance and business continuity. This role will plan, conduct and execute the review process for a portfolio(s) of products, while also performing trend analyses to help maintain the health of the SOP and manage the material/asset lifecycle. The Promotional Review Specialist will provide department and project support as needed including the optimization of systems to support review process SOP, digital asset management and print fulfillment.

Requirements

Strong understanding of MLR (Medical, Legal, Regulatory) review processes.
Working knowledge of Veeva Vault PromoMats
Experience in digital asset management and promotional content approval workflows.
Experience working with cross-functional teams (Marketing, Medical, Legal, Regulatory).
Excellent verbal and written communication skills.
Ability to successfully manage multiple projects simultaneously.
Must be able to work within cross-functional teams to achieve desired objectives.
Must be able to influence associates without direct authority.
Must be process-driven and seeks to continuously improve areas of responsibility.
Strong presentation and meeting facilitation skills.
Proficient Microsoft office and Ariba applications
Bachelor’s degree and a minimum of 2 years’ experience in promotional review processes and/or software solutions; or equivalent combination of education, training and experience.
Must have demonstrated results working with cross-functional teams to ensure successful outcomes.
High level of comfort with technology and systems software a plus.

Nice To Haves

General understanding of FTC and FDA regulations for medical device advertising and promotion strongly preferred.
Understanding of A&P requirements for 510(k), PMA and drug combination products strongly preferred.
Knowledge of collateral development a plus.

Responsibilities

Compare material versions and confirm changes are implemented correctly.
Reinforce and maintain consistency with trademark/company identity guidelines and A&P Review Process submission requirements including substantiation/claims matrices to provide proof to validate any statements (claims) made about Terumo products or services that represent their benefits, safety, performance or efficacy.
Facilitates pre-review or review consultation with content owners, keeps track of issues pending approval for resolution to ensure necessary approvals are obtained prior to the release of the submission.
Collaborate with content owners and reviewers (medical, legal and regulatory) to help resolve issues for speedy file closure – confirming material was reviewed and deemed compliant for use.
Shares responsibility with content owner for identifying files that need to be circulated in the A&P Material Review/Approval Process.
Determines whether it is necessary to defer items for additional information and discussion.
Determines and communicates final approval outcome or rejections (i.e., non-compliance) to content owners for each submission.
Responsible for initial and final quality check of an asset prior to release.
Partner with Promotional Review Manager to identify and report monthly, quarterly and yearly metrics. Create customized reports as needed. Support the delivery of results to the organization via Quality Review Meeting.
Liaise with owners in submitting A&P material to ensure appropriate submission, review and approval of assets.
Ensure internal customers are properly set up and trained in the software environment to best enable user access and compliance.
Ensure quality of all A&P submissions, including timelines and documentation.
Ensure correct reviewer filtering levels are assigned for A&P submissions.
Ensure that all materials approved adhere to regulatory body submission requirements.
Responsible for file/record retention, paper or digital, in the event of an audit.
Responsible for asset lifecycle management – manage assets as developed and approved through A&P process, maintenance and expiration of literature.
Incumbent must follow all established Environmental Health & Safety and Quality System policies, programs, rules and practices, including but not limited to product and patient safety, the health and safety of all associates as well as the environment and community at large.
