About The Position

C.T. Male Associates, a multi-discipline engineering, environmental, surveying, and architectural firm in the Northeast is seeking a Project Support Coordinator to join the Architectural and Mechanical-Electrical-Plumbing Engineering divisions in our Latham, NY office. Join our team and play an integral role in supporting our operations.

Requirements

• Bachelor's degree in Business, Finance, Marketing, Architecture, Engineering, or related field.
• Two plus (2+) years of experience in project management, administration, finance, or related roles.
• Proficiency with Microsoft Office applications, particularly Excel and Outlook.
• Familiarity with business management software platforms.
• Strong communication, analytical and problem-solving skills.
• Knowledge of project management principles is a plus.
• Interest in developing new skills.

Responsibilities

• Support project managers in setting budgets and financial goals.
• Track project expenses and ensure contracts meet financial requirements.
• Create accurate and timely project financial reports and analyze project financial performance.
• Prepare accurate client invoices and ensure compliance with client billing requirements.
• Assist with the development of and review project proposals and cost estimates.
• Assist in drafting agreements utilizing company and AIA standard agreements.
• Assist with organizing and editing project manuals for bidding and contracting.
• Support the creation and maintenance of project schedules and resource plans.
• Maintain project documentation and ensure compliance with company policies and financial controls.
• Provide administrative support, including scheduling, processing, registrations, and authorizations.
