About The Position

As a Project Specialist, you will play a vital role in supporting the coordination and execution of new equipment installations. You’ll be responsible for processing all related billing transactions, scheduling technicians for job sites, and coordinating field planning activities. This role requires basic knowledge of installation equipment to effectively address customer questions during schedule confirmations. You'll collaborate closely with Installation Managers, Technicians, and outside operations, as well as work with the receivables department and U.S. branches to ensure billing accuracy and prevent customer issues. This position will report directly to the NA Project Specialist Manager within the Finance department.

Requirements

  • Proven competence plus knowledge of general billing procedures.
  • Associate’s degree or equivalent work experience (2 years billing and/or customer service – medical billing/coding experience a plus).
  • Solid computer skills and familiar with MS office products, Word, Excel and electronic spreadsheets.
  • Excellent communication skills, both written and verbal.
  • Detail oriented and strong organizational skills.
  • Ability to multi-task and mitigate arising challenges.
  • Ability to work well within a team environment as well as independently.
  • Ability to work well under pressure.
  • Positive attitude.
  • Flexibility to work overtime during the month end and when the workload demands it.
  • The ability to encourage and coach peers as seen fit.
  • Analyze all reporting pertaining to the customer service calls.

  • Some Project Management is a plus.
  • Dispatch Experience is a plus.

Responsibilities

  • Process all billing transactions relating to new equipment.
  • Field Planning Coordination.
  • Scheduling technicians to new installation jobsites.
  • Basic knowledge of new installation equipment to satisfy customer’s questions and concerns during schedule confirmation.
  • Communicate and work directly with outside operations, Installation Managers and Technicians.
  • Work closely with the receivables department and all US branches to ascertain accurate billing and avoid customer questions and complaints.
  • Create installation calls and enter/update customers and end-user information connected to door identification tag.
  • Completion of customer required billing documents and lien releases.
  • Perform other administrative functions as directed by Manager.
  • Provide support to the reporting manager for daily functions.
