About The Position

The Project Specialist performs a full range of varied, multi-skilled secretarial, clerical, and administrative support that requires creativity, and independent, discretionary judgment. The Project Specialist will routinely work with large data sets and perform complex analyses that will drive business decisions. This Project Specialist works alongside and assists the clinical leadership and Director of the Adult and Pediatric Hospitalists services to perform project management duties that support the initiation, planning, execution and completion The Project Specialist may perform varied data entry into established spreadsheets and databases. Specialist will payi attention to trends and patterns that could be valuable for running the service. Specialist will manage flow of paperwork for all medical staff appointments, as well as Kronos timekeeping entry for all physicians. Provides data to Director to support monthly budget variance review process. Facilitates planning and preparation (including agendas, presentations, meeting minutes and other project-supporting materials as required for the team members) and tracks completion to ensure quality and integrity. Creates and manages weekly/monthly reports for team meetings in order to manage priorities, highlight risks/issues and share best practices. Schedules/coordinates meetings, conferences, special events, appointments, and travel arrangements. Provide efficient, accurate, and timely administrative support to contribute to the success of the team. Maintains appointment calendar and supports maintenance of clinical scheduling, including updating covering providers in Tiger Text and soliciting coverage as directed by physician leaders. Manages accounting/bill payments, department mail and correspondence, provider reimbursements, office equipment and supplies. Provides administrative support for all aspects of recruitment and onboarding from interviews, credentialing and HR workflows, and new provider onboarding.

Requirements

  • Bachelor’s degree in business, management, operations, administration, or similar field or equivalent work experience.
  • Two to three years previous administrative work and analytics
