The Job The Project Operations Specialist supports the Lighting Project Management team by preparing project documentation, material packages, and installation-ready deliverables for our projects. This role is responsible for building accurate material lists, installation maps, and supporting documentation, ensuring alignment between the proposal/design and project execution in Wrike and internal project folders. The Project Operations Specialist plays a key role in preventing project delays and budget issues by identifying risks early (budget, application, controls scope, lead times) and providing proactive administrative support for procurement and project communication at the direction of the PM. This position is based in-person in our Downtown Vancouver, WA Headquarters. The hiring range for this position is $58,000 - $73,000

Requirements

  • Bachelor’s degree.
  • 3–5 years of relevant experience supporting lighting retrofit projects, electrical installation projects, construction projects, or related project operations roles.
  • Experience supporting procurement processes and purchase order initiation.
  • Familiarity with lighting controls systems and common control components preferred.
  • Strong attention to detail with the ability to verify counts, scope, and budget alignment.
  • Highly organized with strong document control and file management discipline.
  • Ability to manage competing priorities across a high-volume Project Management team.
  • Clear written communication skills for both internal coordination and customer-facing updates.
  • Ability to identify scope gaps, application risks, and documentation deficiencies.
  • Comfortable working with lighting fixture schedules, accessories, and controls packages.
  • Proficient in Wrike or similar project management software.
  • Proficient in Microsoft Office and/or Google Workspace.
  • Experience with PDF editing and markup tools preferred.
  • Basic understanding of lighting spec sheets and installation documentation.
  • A valid, insurable driver's license is required.

Responsibilities

  • Prepare execution-ready project documentation and maintain organized, standardized internal project folders.
  • Build and validate complete material lists based on awarded proposals and design documents, ensuring all fixtures, accessories, and controls components are included.
  • Verify counts, budgets, and scope alignment between proposal documents and internal project tracking systems (Wrike).
  • Review lighting controls scope, confirm material completeness, and proactively flag commissioning, programming, or startup requirements.
  • Develop installation maps and assemble comprehensive field-ready install packages including cut sheets, installation guides, controls documentation, and supporting materials.
  • Identify and escalate risks related to budget discrepancies, scope gaps, application conflicts, and long-lead materials.
  • Initiate and support purchase order requests, ensuring alignment with approved scope and budget expectations.
  • Maintain accurate project tracking updates in Wrike, supporting visibility, reporting, and PM coordination.
  • Support PM-directed customer communication related to materials, shipping, and scheduling updates.
  • Manage competing priorities across multiple projects while maintaining accuracy and documentation integrity.
