About The Position

A Project Manager serves as a key post-sale point of contact from MMS customers, responsible for guiding HVAC equipment projects from purchase order through submittals, order releases, shipment, delivery, installation, startup, and warranty. This role is accountable for project execution, communication, and customer experience across the entire lifecycle of assigned projects. Project managers work closely with outside sales engineers, inside sales support, contractors / customers, equipment manufacturers, service partners, and accounting to ensure projects are delivered accurately, on time, and in alignment with customer expectations.

Requirements

  • Bachelor's degree or equivalent work experience.
  • 1-3 years of project management or related experience.
  • Strong organizational skills and attention to detail
  • Ability to manage multiple projects simultaneously with professionalism and persistence.
  • Excellent communication and interpersonal skills for working with customers, internal team members, and external partners.
  • Ability to work independently and problem-solve efficiently in a dynamic environment.
  • Proficiency with Microsoft Office Suite.

Nice To Haves

  • HVAC industry knowledge or experience preferred.
  • Familiarity with Smartsheet and Microsoft Dynamics CRM preferred.

Responsibilities

  • Manage all phases of projects from proposal / purchase order through warranty close-out.
  • Oversee submittal creation, revision, approval, and confirmation of equipment configuration prior to order release.
  • Select, order, and track equipment and materials as required. Coordinate with sales and sales support on shared responsibilities.
  • Monitor production and shipping timelines, proactively addressing critical delivery requirements.
  • Coordinate deliveries, scheduling, and logistics to support the project timeline.
  • Assist with freight claims and other logistical considerations.
  • Serve as the primary customer contact after order placement, providing guidance, updates, and problem-solving throughout the project.
  • Act as a liaison between customers, MMS sales teams, contractors, equipment manufacturers, service partners, and accounting.
  • Document project milestones, decisions, and communications thoroughly to mitigate risk.
  • Arrange and coordinate equipment startup, service visits, and other post-delivery activities.
  • Provide support and communicate technical details to manufacturers and service teams to help resolve field issues.
  • Ensure a smooth transition into warranty service and maintain follow-through until project completion.
  • Partner with outside sales engineers and inside sales support to ensure smooth project handoffs and consistent customer experience.
  • Build and maintain strong long-term relationships with customers, contractors, and manufacturers.
  • Support continuous improvement efforts within the project management team and operational processes.
  • Perform additional duties as needed to support team and customer success.
