About The Position

The Inpatient Clinical Application Project Manager will lead and manage the implementation, optimization, and maintenance of key inpatient clinical modules of the Epic EHR system, including ClinDoc, Orders, ASAP (emergency department), and Willow (pharmacy/inventory). This role partners with clinical, operational, and IT stakeholders to ensure these applications support high-quality patient care, efficient workflows, and regulatory compliance.

Requirements

  • Bachelor’s degree in Nursing, Healthcare Informatics, Information Technology, Business, or related field (or equivalent experience).
  • Minimum 5 years of experience in healthcare IT, clinical applications, or project management, preferably in a hospital setting.
  • Demonstrated experience managing Epic or similar clinical application projects, including inpatient modules.
  • Strong knowledge of inpatient clinical workflows (nursing documentation, orders, ED, pharmacy) and Epic modules ClinDoc, Orders, ASAP, and Willow.
  • Proven leadership and supervisory experience, including staff management and HR-related responsibilities.
  • Excellent project management skills: defining scope, timelines, risk/issue management, stakeholder engagement, cross-team coordination.
  • Strong communication and interpersonal skills; ability to work with clinical leaders, IT teams, vendors and staff at all levels.
  • Ability to manage multiple priorities, adapt to change, and drive results in a fast-paced environment.
  • Experience in the Microsoft Office suite of products, including Outlook, Teams, and SharePoint
  • Attention to detail and high level of accuracy
  • Ability to work independently and as part of a cross-functional team

Nice To Haves

  • Epic certification(s) in one or more of the following: ClinDoc, Orders, ASAP, or Willow.
  • Project Management Professional (PMP) or related certification.
  • Experience in staff supervision, including performance management and corrective action.
  • Experience with data analytics, reporting tools, and key performance indicators for clinical systems.
  • Knowledge of Epic build, testing, and optimization practices.
  • Experience with change management, training/education coordination, and post-go-live support methodologies.

Responsibilities

  • Lead the planning, execution, monitoring, and closure of Epic projects involving ClinDoc, Orders, ASAP, and Willow, including implementations, upgrades, and optimization efforts.
  • Define project scope, deliverables, timelines, resources, budgets, and success criteria in collaboration with clinical and IT leadership.
  • Coordinate cross-functional teams — clinical informatics, application analysts, IT operations, training, and operations — to deliver project objectives and ensure alignment across stakeholders.
  • Facilitate requirements gathering, workflow design, build reviews, testing (unit, integration, and user acceptance), readiness assessments, go-live activities, and post-implementation support.
  • Manage project risks, issues, and dependencies; provide regular status updates and escalate concerns appropriately.
  • Ensure workflows, configurations, and data meet compliance, governance, and regulatory standards, and integrate appropriately with related systems (interfaces, data flows, inventory, and devices).
  • Collaborate with clinical leadership (nursing, physicians, pharmacy, and ED) to optimize workflows, user experience, and adoption of Epic inpatient modules.
  • Monitor system performance and key metrics (e.g., order turnaround time, documentation compliance, pharmacy efficiency); identify and lead opportunities for continuous improvement.
  • Support training plans for end users, including coordination of education, training environment setup, and go-live support.
  • Conduct post-implementation reviews, stabilization activities, and transition projects to steady-state support.
  • Maintain project documentation such as charters, plans, communication logs, and change records.
  • Stay current on Epic functionality, inpatient clinical best practices, and participate in upgrade and future-state planning initiatives.
  • Provide direct supervision and leadership to assigned staff, including Application Analysts, Coordinators, and Specialists.
  • Manage time and attendance, including schedule approvals, PTO requests, and adherence to department policies.
  • Conduct annual performance evaluations and regular feedback sessions to support employee development.
  • Identify training needs and create opportunities for skill enhancement, professional growth, and Epic certification advancement.
  • Address performance or behavioral concerns promptly through coaching, counseling, or formal corrective actions, in collaboration with Human Resources and departmental leadership.
  • Foster a positive and collaborative team culture that emphasizes accountability, communication, and professional excellence.
  • Participate in workforce planning, hiring, onboarding, and succession planning for the Inpatient Clinical Applications team.
