About The Position

We are looking for a Project Manager who will be responsible for the overall planning, execution, financial oversight, and delivery of a cost-plus fire protection project. This includes coordination of engineering, procurement, installation, commissioning, subcontractor management, and client communication. The PM ensures the project meets contractual, safety, quality, schedule, and cost-plus transparency requirements. The role demands strong technical understanding of fire protection systems, excellent leadership skills, and precise cost control within a reimbursable contract environment.

Requirements

  • Bachelor's degree in Engineering, Construction Management, Fire Protection, or related field.
  • 5-10+ years of project management experience in industrial fire protection or complex mechanical systems.
  • Experience managing cost-plus or reimbursable contract structures.
  • Strong knowledge of NFPA standards, fire pumps, suppression systems, and water supply infrastructure.
  • Proven ability to lead multidisciplinary project teams and interact with client stakeholders.
  • Proficiency in project management tools.
  • Strong analytical, communication, and leadership skills.

Nice To Haves

  • PMP, NICET, or PE (Fire Protection) certification preferred but not required.

Responsibilities

  • Project Leadership & Execution Lead all phases of the fire protection project from initiation through turnover.
  • Coordinate multidisciplinary teams including engineering, procurement, construction, commissioning, and subcontractors.
  • Develop and maintain the project execution plan, schedule, risk register, and deliverables.
  • Ensure adherence to industry codes (e.g., NFPA), client standards, and company procedures.
  • Maintain full understanding of the cost-plus contract including reimbursable categories, fee structure, markups, and documentation requirements.
  • Ensure daily tracking of labor, materials, equipment, and subcontractor costs.
  • Approve timesheets, purchase requests, subcontractor invoices, and cost allocations.
  • Collaborate with the Project Accountant to prepare accurate, audit-ready billing packages.
  • Maintain accurate forecasting of cost-to-complete, cash flow, and potential budget exposure.
  • Review weekly job-cost reports, procurement logs, and change impact analysis, Identify and mitigate cost overruns or scope gaps early.
  • Track allowances, contingencies, alternates, and owner-directed scope adjustments.
  • Build and maintain the master project schedule (engineering, procurement, fabrication, installation, testing).
  • Coordinate with construction and subcontractors to maintain sequence and critical path.
  • Communicate schedule risks and mitigation strategies to stakeholders and the client.
  • Ensure alignment between cost reporting and schedule progress.
  • Participate with Program Director as the point of contact for the client.
  • Lead progress meetings, financial reviews, schedule updates, and milestone reporting.
  • Provide timely updates on cost impacts, delays, scope changes, and risk items.
  • Maintain clear and transparent communication consistent with cost-plus project expectations.
  • Review and approve requisitions, purchase orders, and subcontracts.
  • Manage subcontractor performance, coordination, change orders, and progress billing.
  • Ensure procurement activities align with cost-plus documentation and traceability requirements.
  • Resolve field conflicts and support construction with technical and logistical decisions.
  • Identify project changes, design modifications, or field-driven revisions.
  • Lead internal and client approval processes for change orders.
  • Validate cost impacts with Project Accountant and Procurement before submission.
  • Ensure all changes are properly documented, priced, and incorporated into schedule and cost forecasts.
  • Enforce all safety requirements and ensure contractors comply with site safety programs.
  • Oversee inspection and testing (e.g., hydrostatic tests, acceptance tests, alarms, pumps).
  • Ensure project deliverables meet NFPA standards and client specifications.
  • Support commissioning and turnover documentation.
  • Maintain accurate project logs including RFI register, submittals, meeting minutes, and action lists.
  • Review and approve engineering and construction documentation.
  • Ensure the project file is audit-ready for cost-plus compliance.
  • Oversee preparation of closeout packages, as-builts, O&M manuals, and training materials.
