About The Position

The Texas Department of Family and Protective Services (DFPS) works to build on strengths of families and communities to keep children and vulnerable adults safe, so they thrive. We do this through investigations, services, and referrals. The Project Management Office (PMO) Operations Coordinator works in the Information Technology (ITS) PMO in the PMO Operations unit under the direction of the PMO Operations Lead and PMO Director. PMO Operations manages internal processes, tools, and resources to ensure smooth PMO operations and enable the successful delivery of projects that meet organizational goals. Personnel in PMO Operations ensure large projects are meeting statewide requirements for project reporting. PMO Operations prepares and shares consolidated project reports and road maps that keep stakeholders informed and support data driven decision making.

Requirements

  • Knowledge of organizational development and management practices as applied to the analysis, evaluation, development, and implementation of programs, policies, and procedures; methods and procedures analysis techniques; work simplification methods; forms and records design and control procedures; and statistical analysis.
  • Skill in the use of computers and applicable software.
  • Ability to analyze or evaluate problems; to develop, recommend, or present alternative solutions; to conduct or coordinate studies; to develop, interpret, or implement policies and procedures; to design programs or training; to prepare concise reports; and to communicate effectively.
  • Ability to collaborate with others.
  • Graduation from an accredited four-year college or university. Any type of professional work experience may be substituted for education on a year-for-year basis.
  • Experience writing processes and developing reports.

Nice To Haves

  • Experience with DFPS ITS project management standards is preferred.

Responsibilities

  • Continually reviews reports, forms, internal documents, and collaboration sites in support of assigned division.
  • Participates in the research and analysis of policy and operational materials and clearly interprets subject matter research to diverse groups.
  • Collaborates with division leads and management to evaluate internal functions and program activities.
  • Follows plans to evaluate business development strategies and technical processes to ensure business needs are met.
  • Collaborates with division leads and management to define division priorities, project resources, and deadlines.
  • Contributes to alignment of division priorities, project resources, and deadlines with division business goals.
  • Conducts analysis and consults with division leads and management on key business, program, and technology issues affecting the agency.
  • Participates in research and evaluation of new technologies and solutions for implementation.
  • Attends conferences, consults with counterparts at other agencies, conducts research online, and follows emerging trends to ensure that business practices are efficient, effective, contemporary, and meet current industry standards.
  • Under lead and management guidance, evaluates business operations, identifies opportunities for improvement, and designs and recommends solutions to improve business operations through policy development and revision, proposals, and reviews with division leadership.
  • Assists with conducting research, interpreting trends, analyzing applicable legislation, and determining division and agency impact, and proposes mitigation activities to reduce the effects on the department’s programs, ensuring regulatory compliance in meeting business requirements.
  • Provides input and consultation related to area of expertise to analyze and track legislation and contribute to the development of fiscal notes.
  • Prepares responses to open records requests, including review of project and division deliverables.
  • Contributes to const/benefit analyses and report for federal and state entities and agency leadership.
  • Performs quality checks, presents issue findings, and recommends corrective actions to improve efficiency and effectiveness within organizational management systems.
  • Tracks and analyzes program metrics, data, and reports that establish trends. Recommends effective problem resolutions in support of the division.
  • Participates in research and program studies to discover opportunities to improve efficiency and effectiveness of business, program, or technical operations.
  • Addresses and mitigates risk and areas of challenge in quality systems.
  • Develops technical and division documentation, analyzing data, and presents recommendations for initiating process improvements, division initiatives, and implementations.
  • With engagement of leads and management, interprets complex information, policies, and data, and provides written and oral reports in a concise manner, ensuring compliance with standard Agency reporting formats.
  • In consultation with leads and management, maintains essential division processes and templates, enabling projects to operate uniformly across the department.
  • Adjusts division’s standard operating procedures as required by changes in business processes.
