St. Catherine University invites applications for a grant-funded .75 FTE Project Coordinator position through June 30, 2026 that will support the Access and Success & TRIO Student Support Services teams! This position will play a crucial role in managing grant projects in two departments and delivering grant-funded student retention and support services. In Access and Success (.5 FTE), this position contributes to services for pregnant and parenting students at St. Catherine University. This position will carry responsibilities for successful implementation of the MN Office of Higher Education (MNOHE) Student Parent Support Initiative (SPSI) by communicating with colleagues and partnering with students to process funding requests. This role will also monitor student payments, reconcile funds, manage data entry and generate reports. In TRIO Student Support Services (.25 FTE), this position facilitates the student application and onboarding process, organizes required documentation for federal grant reporting, and coordinates communications and operations to contribute to the success of the project. The person in this role will operate in fast-paced environments and make decisions within the context of federal, state, and university policies and procedures. This position contributes to the delivery of a high level of service to retain students at St. Kate's and requires confidentiality, sensitivity, and discretion in interactions with students, staff, faculty, and other external partners.

  • Payment processing to disburse grant assistance to student parents in the areas of child care, legal fees, and mental health copayments.
  • Create and distribute follow-up surveys and manage results/summaries that meet grant requirements for reporting.
  • Serve as the first point of contact for student walk-ins to the Access and Success office.
  • Facilitate the student application and onboarding process for TRIO SSS by receiving applications, updating new student files, scheduling intake meetings, and communicating with prospective and new TRIO students.
  • Coordinate communication among TRIO SSS Director, staff, students and other stakeholders.
  • Communicate priorities between the Director of TRIO and Director of Access and Success to ensure tasks can be completed effectively and meet deadlines.
  • Prepare documents including creating, formatting, and proofreading reports, presentations, and other documents to support grant-related projects and initiatives.
  • Serve as lead staff on the SPSI grant work, acting as a liaison between Access and Success social work staff and the Access and Success director.
  • Handle logistics of planned student activities (space, supplies, communications).
  • Provide additional administrative support for special projects and initiatives as directed by the Director(s).
  • Focus on accuracy with database management and funds distribution to students.
  • Manage student data in accordance with FERPA and university policies.
  • Ensure confidentiality in communications and processes.
  • Train student workers in following processes to maintain confidentiality.
  • Associates degree.
  • Two years of experience in a grant management role, human services administrative assistance, or related.
  • Proficient in Microsoft Office Suite (especially Excel) and other software involving survey building and data tracking.
  • High level of accuracy and attention to detail, with the capability to manage confidential information with discretion.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills, with the ability to interact professionally with a diverse range of stakeholders.
  • Ability to work independently while also committed to clear, transparent communication with the director about timelines, questions or concerns.
  • Bachelor's degree.
  • Prior experience with grant management in a higher education setting.
  • Familiarity with database management systems and project management tools.
  • Financial reconciliation and basic accounting experience.
