About The Position

As a privately owned, employee-owned civil contracting firm, we perform work across public and private markets, specializing in site development, underground utilities, roadway, and water/wastewater treatment plant construction throughout the Southeast. Were seeking a Project Coordinator to support our Project Management team by providing essential contract administration, documentation, and day-to-day project support. This role is ideal for a highly organized, detail-driven professional who thrives in a fast-paced construction environment and takes pride in keeping projects compliant, organized, and moving forward.

Requirements

  • Prior experience in construction administration, project coordination, or contract support preferred.
  • Familiarity with subcontracting, purchasing, and construction documentation processes.
  • Ability to analyze contract documents, scopes, and vendor terms.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office (Excel, Word, Outlook, Teams).
  • Ability to work independently and collaboratively with project teams.
  • Professional demeanor and commitment to accountability and accuracy.

Responsibilities

  • Contract Administration & Documentation
  • Receive, organize, and process all contract documents with clients and owners.
  • Prepare, track, and maintain project documentation including, but not limited to: Performance and payment bonds Certificates of insurance Certified payroll Notices to owners EEO documentation
  • Set up and manage complete project contract files, ensuring all documents are properly executed, tracked, and maintained.
  • Subcontracts, Vendors & Compliance
  • Prepare, expedite, and track purchase orders, subcontracts, submittals, and vendor agreements.
  • Work closely with Project Managers to clarify and define subcontractor and material vendor scopes.
  • Analyze vendor quotes, submittals, and purchase order terms and conditions.
  • Track submittals to ensure compliance with contract requirements and timelines.
  • Ensure subcontractors and vendors have proper insurance certificates and required bonds prior to mobilization.
  • Project Support & Coordination
  • Assist Project Managers with contract-related items including RFIs, pay applications, invoice approvals, lien releases, and close-out documentation.
  • Maintain project management databases related to subcontractors, vendors, material specifications, and best management practices.
  • Participate in project handoff meetings and job planning meetings.
  • Provide ongoing administrative and coordination support to Project Managers and field leadership.
  • Jobsite & Operational Support
  • Provide jobsite assistance as needed, including coordination of: Jobsite trailers, utilities, and port-o-lets Trash containers and laydown yards Water outage notices Accident and incident reports Off-duty officers Material orders and logistics Out-of-town per diem accommodations
  • Support communication and coordination between office and field teams.
  • Continuous Improvement & Professionalism
  • Seek opportunities to improve procedures related to tracking, communication, and efficiency.
  • Maintain required training and participate in continuing education (minimum of 5 hours annually).
  • Represent Petticoat-Schmitt professionally with clients, vendors, and partners.
  • Serve as an ambassador of the company and uphold the Petticoat-Schmitt Code of Conduct.
