About The Position

Performs administrative and operational duties associated with coordinating assigned projects and related activities within a department. The Project Coordinator, Water Resources, Systems Reliability Division, ideal candidate should be highly organized, detail-oriented, and capable of thriving in a fast-paced environment while managing multiple priorities with accuracy and consistency. The candidate should demonstrate strong critical thinking and problem-solving skills, along with the ability to work both independently and collaboratively with a wide range of internal and external partners. The candidate should have experience supporting complex administrative and operational functions such as procurement processing, payroll coordination, vendor communication, contract management, invoice tracking, and handling confidential personnel-related tasks. The candidate should be proficient in workflow and data-management systems, including Microsoft Office applications, and other related software. Candidate needs to maintain accurate records, prepare reports, and support complex division procurement, fiscal, and operational activities. The candidate should possess strong communication and customer service skills and be able to work effectively with section leadership, field staff, HR partners, fiscal teams, and vendors to help ensure efficient and consistent division operations. The candidate should also be adaptable and professional, able to respond to shifting priorities and support emergency activities such as lift station call management, alarm dispatching, and escalations during storm events or emergency activation incidents. Finally, the candidate should show initiative, contribute to process improvements, and support a positive, collaborative, and solutions-focused team environment aligned with the division’s mission and operational goals. Our Systems Reliability Division’s Project Coordinator is held to a high standard of professionalism. Requirements

  • Knowledge of the principles and practices of project management.
  • Knowledge of the processes, activities, requirements and objectives of the functional area to which assigned.
  • Ability to communicate effectively both orally and in writing.
  • Ability to manage multiple tasks and solve problems involving several variables or unique situations.
  • Ability to establish and maintain effective working relations with others within and outside own organization.
  • Ability to manage the details of projects, track activities and meet deadlines.
  • Ability to collect, organize and analyze data and make logical decisions.
  • Graduation from an accredited four-year degree granting college or university; AND
  • One year of experience managing projects, programs or activities; OR
  • An equivalent combination of education (not less than possession of a High School diploma/GED), training and experience that would reasonably be expected to provide the job-related competencies noted above.
  • Maintain the ability to pass the background checks required for the position. These background checks may include but are not limited to: Criminal History Background Check using Florida Department of Law Enforcement (FDLE) Criminal Justice Information Services (CJIS) Level 1 and Level 2 Background screening (Ch. 435 Florida Statutes) Child Abuse, Abandonment and Neglect Record Check using the State Automated Child Welfare Information System (SACWIS) Sex Offender and Sexual Predator record check using the list maintained by the Florida Department of Law Enforcement (FDLE)
  • Possess the necessary job-related license(s) or certification(s) that may include possession of a Florida Driver License (Class E) or an applicable Commercial Driver License (CDL)

Responsibilities

  • Performs project management work by coordinating small to moderate projects or elements of larger complex projects.
  • Directs and coordinates activities concerned with the implementation and completion of assigned projects.
  • Prepares or assists in the preparation of contract drafts, requests for proposal, and other related documents for review.
  • Manages project operations to ensure adherence to project plans and schedules.
  • Identifies, tracks, monitors and communicates project-related tasks, issues, scope changes, variances and contingencies that may arise during the project.
  • Monitors project budget, monitors status of allocated funds and controls expenses.
  • Prepares reports and maintains project documentation.
  • Performs other related duties as required.
