POSITION SUMMARY The Project Coordinator - Technology provides operational and project support to the Technology Executive and leadership team. This role enables effective executive operations through calendar and communications management while coordinating special projects, vendor activities, and budget tracking across the technology organization. This position requires strong organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced financial services environment. DESCRIPTION Essential Functions, Duties, and Responsibilities Executive Support Manage executive calendar, meeting scheduling, and priorities. Coordinate communications, prepare meeting materials, and track follow-ups. Plan meetings, leadership sessions, and team events. Coordinate travel arrangements and expense reporting. Serve as a liaison between the executive and internal and external stakeholders. Project and Operational Coordination Coordinate special projects, including timelines, deliverables, and status tracking. Support vendor management, including onboarding, coordination, and invoice tracking. Assist with budget tracking, approvals, and financial administration. Coordinate staffing activities, including contractor onboarding and resource tracking. Maintain project documentation, trackers, and reports. Support leadership reporting, presentations, and operational processes. Ability to effectively and accurately convey information to others. Performs related duties as assigned by management. Qualifications and Education Requirements Bachelor’s degree or equivalent experience. 3+ years of experience in project coordination, executive support, or operations. Strong organizational, communication, and time management skills. Ability to manage multiple priorities independently. Proficiency in Microsoft Office and collaboration tools. Skills, Abilities, and Knowledge Experience supporting technology leaders Experience in financial services or a regulated environment Familiarity with project management tools Strong verbal communication skills; strong writing and composition abilities. Strong interpersonal skills with the ability to develop and maintain effective and professional relationships across the organization and with customers. Effective at managing multiple priorities under tight deadlines in a fast-paced, dynamic environment. High degree of professional maturity, integrity, ability to maintain confidential data and information. Work Environment and Physical Requirements Working on-site at assigned office location. Regular and punctual attendance adhering to schedule established by leadership. Flexibility to work occasional adjusted work schedules, overtime, and evening and/or weekend hours to meet deadlines or as business needs demand. Working in a cubicle hub, maintaining focus on phone calls in a noisy environment within earshot of multiple other conversations. Sedentary work in a stationary position at a cubicle for prolonged periods of time. Constant repetitive motions required for operating a computer, such as typing and managing phone calls. Constantly communicating effectively verbally in English, including accurately exchanging information with others following identification of correct procedures.
