About The Position

The Project Coordinator will provide administrative support to the New Jersey Department of Health Division of HIV, STD, TB Services (DOH DHSTS) primarily through the New Jersey HIV Community Planning Group (NJHPG). This position will work directly with the NJHPG Program Director and Community Planner to support a variety of tasks related to organization, communication, planning, training, reporting, and administrative support. This role will be supporting activities within all three facets of the grant, including quality improvement projects, training and capacity development, and HIV planning group activities.

Requirements

  • Bachelor’s Degree, or equivalent combination of education and experience
  • Excellent computer, analytical, communication, and networking skills are required with attention to detail
  • Excellent interpersonal skills with strong multitasking abilities
  • Must have ability to deal sensitively with many types of people across the enterprise and handle confidential information
  • Computer expertise working with Microsoft Office software is essential
  • Organizing workflow and meeting critical deadlines is preferred
  • 3 years of experience in office setting

  • Lived or professional experience in/with communities disproportionately affected by HIV preferred

Responsibilities

  • Organize and schedule meetings and appointments
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Book travel arrangements, submit and reconcile expense reports
  • Maintain computer and manual filing systems
  • Responsible for preparing meeting materials and minute taking/transcription for NJHPG meetings and events
  • Assisting in the preparation of reports and presentations for NJDHSTS and NJHPG
  • Interacts with co-workers, visitors and other staff consistent with the values of Jefferson Health
  • Conduct data entry in coordination with the Program Director for program reporting requirements
  • Assist with preparing project communication documents, including verbal and written materials
  • Assist in the preparation of printed and electronic reports and presentation as part of the project status reporting
  • Maintain organized tracking systems and spreadsheets for appropriate program activities
  • Communicate with the government and community stakeholders as directed by supervisor
  • Maintains a responsible awareness and understanding of the NJHPG and its deliverable and requirements
