Requirements

  • Bachelor’s Degree in a relevant discipline (e.g., Project Management, Business Administration) and 2 years of experience with administrative support, project coordination, and operational support in a healthcare setting, or a combination of education and work experience that demonstrates the attainment of the requisite knowledge, skills, and abilities required.
  • Knowledge of Microsoft Office Suite, SharePoint, Jive, etc.
  • Knowledge of task management with a proven track record of meeting project deliverables and timelines.
  • Knowledge of project management skills.
  • Demonstrated interpersonal and organizational skills.
  • Ability to follow guidelines and procedures with independent judgment to exercise individual discretion when needed.
  • Ability to interact effectively with Vituity Leadership, hospital clients, and Vituity Practice Management, Revenue Cycle Management, and The Mutual departmental stakeholders.
  • Ability to communicate effectively both in verbal and in written.
  • Ability to propose creative solutions to process concerns and opportunities for improvement.
  • Ability to pay meticulous attention to detail.
  • Ability to effectively project manage multiple new contract implementations simultaneously.
  • Ability to multi-task several complex assignments with tight deadlines.
  • Strong skills in the continuous development of project management tools for tracking project and task status.

  • Four (4) years of increasingly complex project management experience preferred.

Responsibilities

  • Develop and oversee project plans, including communications, stakeholder management, timelines, training, and action items.
  • Partner with the Growth team and Outpatient Medicine (OM) Leadership in managing new opportunities and supporting the Outpatient Medicine Division's growth.
  • Serve as the primary project lead for seasonal clinic startups: facilitate startup calls, document meeting outcomes, assign and follow up on action items, and plan onsite orientations. Solicit and disseminate department updates as needed on assigned contract startups.
  • Participate in Contract startup calls and all related project calls and coordinate all team members to keep workflow on track.
  • With direction from the Clinical Ops Manager, coordinate with new contract clients to obtain information as needed to support go-live efforts and monthly invoicing.
  • Follow up on action items to facilitate timely and responsible processing of contract implementation tasks.
  • Proactively collect and disseminate department-specific required information with all action items and follow up as needed to ensure completion.
  • With input from department or division leaders, responds to inquiries regarding contract terms, timelines, incentives, and business development terms for contracts.
  • Supports Operations Division with logistics of on-site startup work such as coordinating activities to obtain lab licenses needed for a clinic to operate.
  • Collaborates with operations managers, clinic managers, and physician leaders to ensure expectations of the project are met.
  • Tracks projects to ensure they are delivered on time and within scope.
  • Identifies opportunities to streamline startup processes via continuous process improvement and informs leadership for consideration and implementation.
  • Maintains an automated contract management system and creates new contract templates.
  • Conducts research and synthesizes background information to support project planning and execution.
  • Supports post-go-live operational activities, including continued onboarding, monthly invoicing logistics, and site-specific resource development. Reports and analyzes clinic trends to the National Director to assess the health and status of the clinics.
  • Assists with the coordination and implementation of practice line-specific and enterprise-wide strategic projects.
  • Manages and maintains project trackers to ensure up-to-date action items and status visibility. Maintain confidentiality of all new business opportunities, as appropriate.
  • Assists with standardization and operationalization of clinic procedures, policies, and notices by organizing the content into a consistent format for sharing.
  • In collaboration with division leaders, creates presentations and resources as needed.
  • Assists with meeting minutes, action item follow-up, and updates within the division.
  • Maintains and updates the OM Division’s internal SharePoint site to promote resource accessibility and department engagement.
