Indiana University Health is seeking individuals who embody these values to join our Academic Affairs Administration team in the role of Project Coordinator – Clinical Education. We are seeking a highly organized, detail‑oriented, and adaptable coordinator to support onboarding and training efforts for physicians, residents, and advanced practice providers across IU Health. This role provides essential coordination for quality & safety training, controlled substance prescribing education , and other clinical onboarding activities. With a strong emphasis on communication, data management, and cross‑functional collaboration, the Project Coordinator plays an important role in preparing hundreds of new physicians and residents each year to practice safely and effectively within IU Health. Key Relationships Reports to : Director – Clinical Education Direct reports: None Shift: Part-time, Tuesday – Friday; hybrid model; 1-2 days in office Location : Indianapolis, IN The Scope: This role supports Clinical Education operations within Academic Affairs Administration , including: Physician onboarding coordination Collaboration with IU Health Medical Group Scheduling and facilitating resident training sessions Managing logistics for Quality & Safety and Controlled Substance Prescribing training Supporting onboarding for 450+ residents who start each June The Project Coordinator acts as a key operational partner, helping to manage timelines, classroom coordination, communication, spreadsheets, and data systems to ensure training runs smoothly and consistently. Requirements

  • Bachelor's degree in related field or equivalent years of experience required.
  • Clinical license and/or other certifications may be required per unit/department specialty according to patient care policies.
  • 0–3 years of experience is required.
  • Experience exhibiting professional judgment and diplomacy in handling unexpected problems and frequent interruptions is required.
  • Requires basic proficiency in Microsoft Office (Word, PowerPoint, Excel).

  • Experience with matrix organization and complex work environment a plus.

Responsibilities

  • Coordinate onboarding activities for physicians, residents, and advanced practice providers.
  • Manage logistics for Quality & Safety training, including class assignments, rosters, materials, and attendance tracking.
  • Serve as a second set of hands in the classroom during large training events and orientations.
  • Support controlled substance prescribing education sessions.
  • Partner closely with IU Health Medical Group to schedule onboarding timelines, confirm attendance, and communicate instructions.
  • Communicate directly with physicians and clinical trainees regarding training schedules and requirements.
  • Prepare and send agendas, reminders, updates, and follow ‑ ups to participants and leaders.
  • Manage training spreadsheets, class assignments, tracking data, and database updates.
  • Utilize Excel and other systems to organize large volumes of training information.
  • Support reporting to leadership and ensure accuracy of records.
  • Work in a highly collaborative environment with educators, clinical leaders, coordinators, and administrative partners.
  • Support departmental initiatives and project activities as needed.
  • Assist other coordinators on the team and contribute to shared team goals.
