About The Position

The Project Coordinator Apprentice is an entry-level, apprenticeship-based position designed to develop foundational project coordination and project management competencies through structured on-the-job learning and related instruction. Under the direct supervision of the Manager, Industrial Assistance and/or designated Project Coordinator (Journeyperson), the Project Coordinator Apprentice assists in planning, coordinating, monitoring, and documenting project activities to ensure projects are executed efficiently, on schedule, and within defined scope.

Requirements

  • High school diploma or GED required.
  • Must be a US citizen or resident alien.
  • Must be a resident of Guam for not less than three (3) consecutive years.
  • Driver's License - Valid Class A
  • Must be able to obtain Transportation Workers Identification Credential (TWIC) and / or DBIDS Credential
  • Understanding of project management principles, practices, and methodologies.
  • Familiarity with administrative and clerical procedures, including managing files, recordkeeping, and correspondence.
  • Knowledge of customer service principles to effectively communicate with stakeholders and resolve inquiries.
  • Proficiency in using office software, such as Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
  • Basic knowledge of budgeting, invoicing, and expense tracking processes.
  • Organizational Skills: Ability to prioritize and manage multiple tasks while maintaining attention to detail.
  • Communication Skills: Excellent verbal and written communication skills for interacting with team members, clients, and vendors.
  • Problem-Solving Skills: Proactive in identifying and resolving issues to ensure smooth
  • Ability to work collaboratively as part of a team and independently with minimal supervision.
  • Ability to handle confidential and sensitive information with discretion.
  • Ability to adapt to changing priorities and remain flexible under pressure
  • Ability to analyze project requirements and implement efficient solutions.
  • Ability to maintain a positive and professional demeanor when interacting with diverse groups.

Nice To Haves

  • Previous clerical, customer service, or office support experience is a plus.

Responsibilities

  • Assist in coordinating and supporting assigned project activities to ensure smooth and efficient execution under supervision.
  • Support the Manager, Industrial Assistance and/or Project Coordinator in tracking project schedules, timelines, milestones, deliverables, and resource needs.
  • Maintain accurate and up-to-date project documentation, including schedules, logs, reports, correspondence, and tracking tools.
  • Assist with monitoring project progress and identifying potential risks, constraints, or delays, escalating concerns to the supervisor as needed.
  • Serve as a point of contact for internal teams and external partners for routine project-related communications, ensuring timely and professional information flow.
  • Assist in organizing project meetings, preparing agendas, recording meeting minutes, and tracking follow-up action items.
  • Coordinate with internal departments, subcontractors, and vendors to support project requirements and logistical needs.
  • Support basic procurement and administrative functions, including processing invoices, purchase orders, and project-related reports.
  • Answer and route phone calls, emails, and inquiries related to project activities.
  • Assist with data entry, filing, and maintenance of electronic and physical project records.
  • Participate in on-the-job learning activities and related instruction as required by the apprenticeship program.
  • Demonstrate progressive skill development and increased responsibility as competencies are achieved.
  • Perform other related duties as assigned in support of project operations and apprenticeship learning objectives.
