About The Position

The Project Controls Specialist is responsible for supporting day‑to‑day operational oversight of fleet assets and coordinating training activities for field technicians within a broadband service provider environment. This role ensures accurate documentation, regulatory compliance, scheduling efficiency, and seamless communication across Fleet, Human Resources, Training, and Field Operations. The Specialist contributes to safe, compliant, and high‑quality service delivery by maintaining precise records, supporting process standardization, and managing administrative workflows.

Requirements

  • 2–4 years of administrative experience, preferably in operations, fleet, logistics, utilities, telecom, or broadband.
  • Strong organizational skills with high attention to detail and accuracy.
  • Proficiency in MS Office (Excel, Outlook, Word) and comfort learning new systems (LMS, fleet tracking, ticketing tools).
  • Ability to manage multiple tasks, deadlines, and priorities in a fast‑paced operations environment.
  • Strong written and verbal communication skills.
  • Experience working with confidential or compliance‑sensitive information.

Responsibilities

  • Maintain and update fleet records including vehicle assignments, mileage logs, inspection reports, registration renewals, and insurance documentation.
  • Track preventive maintenance schedules, service history, downtime, and repair orders; escalate issues to fleet vendors or supervisors as needed.
  • Monitor telematics data (GPS, idle time, safety alerts) and prepare routine compliance and performance reports.
  • Coordinate onboarding/offboarding tasks related to fleet (vehicle allocation, key handoff, decals, equipment kits).
  • Process vendor invoices, purchase orders, and fleet‑related expenses.
  • Ensure compliance with company fleet policies and safety standards, including vehicle safety checks and technician driving compliance.
  • Assist in managing asset inventories (ladders, tools, meters, safety equipment) associated with fleet distribution.
  • Schedule new hire training for field technicians, including internal and external onboarding tasks, system access requests, technical system onboarding, uniforms, and vehicle assignment.
  • Maintain training calendars, attendance records, rosters, and refresher deadlines.
  • Coordinate logistics for classroom, virtual, and hands‑on training sessions, including room setup and equipment needs.
  • Track training compliance and progress; provide regular status updates to Operations and HR.
  • Manage documentation for training completions and skills qualifications for audits and internal standards.
  • Maintain standardized templates, SOPs, checklists, and documentation related to fleet and training processes.
  • Assistance and oversite of asset tracking and assignment across multiple regions.
  • Prepare weekly and monthly departmental reports (fleet utilization, safety metrics, training completions, compliance status).
  • Serve as a liaison across Fleet, Operations, HR, Safety, and external vendors.
  • Support audits by organizing and retrieving relevant fleet and training records.
  • Identify opportunities to streamline administrative workflows and improve data accuracy.
  • Arrangement and tracking of market travel for technicians as needed.
  • Responsible for other duties as assigned, consistent with the scope and intent of the role.
