About The Position

About the Job: Barnhart is seeking a Project Controls Administrator to provide comprehensive administrative, documentation, and scheduling support for branch operations and project execution. This role supports logistics, crane, rigging, and equipment-setting activities by ensuring accurate project records, efficient communication, and seamless coordination across project teams. The ideal candidate is highly organized, detail-oriented, and experienced in managing multiple priorities in a fast-paced, field-driven environment. Proficiency in Microsoft Excel and Primavera P6 is essential.

Requirements

  • Experience with Microsoft Excel and Primavera P6.
  • Strong organizational, documentation, and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects, priorities, and deadlines with strong attention to detail.
  • 3+ years of experience in construction or industrial project office support preferred.
  • Ability to work effectively in a fast-paced, field-driven project environment.

Nice To Haves

  • Familiarity with project management principles, scheduling practices, and document control systems.
  • Experience supporting industrial construction, including crane, rigging, or equipment installation projects.
  • Experience supporting pharmaceutical or advanced manufacturing projects is a plus.
  • Prior project management support experience in industrial environments.

Responsibilities

  • Project Scheduling & Coordination
  • Develop, update, and maintain project schedules in Primavera P6 and support look-ahead schedules as needed.
  • Facilitate weekly project schedule calls and provide summaries to stakeholders.
  • Monitor schedule progress, identify risks or conflicts, and communicate concerns to leadership.
  • Assist Project Managers, Engineers, and internal teams to ensure schedules align with project goals and field execution.
  • Project Documentation & Controls
  • Maintain organized project files, including contracts, drawings, lift plans, permits, and correspondence.
  • Track and log RFIs, submittals, change orders, cost control items, and other project documentation.
  • Maintain communication logs, deliverable tracking, and documentation required for compliance with Barnhart procedures and client requirements.
  • Support change management documentation and assist with cost tracking and invoice reviews.
  • Support close-out documentation including turnover binders, as-built records, and final reporting.
  • Administrative & Operational Support
  • Organize meetings, prepare agendas, coordinate logistics, and record and distribute accurate meeting minutes.
  • Support the Project Planning Review Committee (PPRC) by coordinating calls and managing Award tracking.
  • Support daily timesheet collection, expense reports, purchase order requests, and invoice tracking.
  • Compile and distribute daily reports, including manpower logs, progress updates, and safety documentation.
  • Coordinate travel, training, and onboarding for project staff.
  • Route calls, questions, and follow-ups to the appropriate team members in a timely manner.
  • Provide general administrative support to the branch as needed.
  • Support to Safety, Quality & Engineering
  • Assist Safety and QA/QC teams with maintaining required safety and quality documentation.
  • Support Engineering and Project Managers in sourcing Barnhart equipment and coordinating technical requirements.
