About The Position

The Project Administrator supports the operational and administrative needs of the RUTS project team, reporting directly to the Senior Project Manager. This role plays a key part in organizing project documentation, preparing invoice support materials, and tracking compliance to ensure accurate, timely coordination with Accounting.

Requirements

  • 2+ years in a construction administrative or compliance role (heavy civil preferred).
  • Familiarity with COI tracking, lien waivers, certified payroll logs, and project documentation.
  • Proficient in Microsoft Office (Word, Excel, Outlook); comfort with project tracking tools.
  • Strong attention to detail, organization, and documentation control.
  • Ability to manage multiple tasks and deadlines independently.

Nice To Haves

  • Associate’s or Bachelor’s degree in Business Administration, Construction Management, or a related field preferred.
  • Equivalent experience in construction documentation or project administration will be considered.

Responsibilities

  • Assist Project Managers with preparing invoice support documentation (photos, COs, timecards, materials) prior to AR handoff.
  • Prepare and submit prequalification packages and pre-bid forms.
  • Maintain organized contract files and assist with subcontractor onboarding paperwork.
  • Track COIs and subcontractor compliance items; flag issues to PMs.
  • Coordinate internal project startup meetings and distribute agendas.
  • Support project closeout documentation and organize digital turnover files.
  • Maintain compliance checklist items (COIs, registrations, prevailing wage tracking, etc.) in coordination with the PM and Project Accountant.
  • Track project schedules, compliance deadlines, and billing cycles using Outlook/Teams tools.
  • Collect and organize backup documentation for monthly pay apps (lien waivers, certified payroll certs, etc.).
  • Monitor and flag compliance gaps that impact pay app submission.
  • Support preparation of documents required for Levelset filings.
  • Other duties as assigned.
