About The Position

SCS Engineers is looking for a Project Administrator to support our Central Region for our Field Services OM&M Business Unit. The Project Administrator will assist with office-related projects, business development, and other indirect tasks. You will facilitate operational activities and work with individuals in other departments to provide support. You will receive work assignments from the Office Service Managers, Sr. Project Administrator, Regional Manager, and other delegated project leads. You will work out of the Bedford, TX office.

Requirements

  • Associate's degree, Business School Certificate, or Bachelor's degree preferred.
  • 2 to 3 years of relevant experience preferred.
  • Proficient in Microsoft Office Suite including Word and Excel.
  • Proficient in typing and 10-key.
  • Eager to learn from senior staff to improve skills and a desire to grow the position further.
  • Team player who is detail-oriented, self-starter, passionate, and has a desire to put out the best possible work that they can.

Responsibilities

  • Assist data analysts and project managers with report preparation by proofreading and finalizing client reports and client correspondence. May be occasionally asked to assist in completing reports through project manager dictation.
  • Assist managers with proposal preparation and other business development activities, including typing up and/or reviewing miscellaneous correspondence and presentations. May be occasionally asked to assist in completing tasks through project manager dictation.
  • Maintain all proposal and project files.
  • Assist the Sr. Project Administrator in completing interactive billing and posting of invoices. This task includes assisting the project manager in balancing project budgets, distributing finalized invoices by typing up email correspondence, and electronically filing invoices using company standard practices.
  • Create and issue purchase orders for supplies, rentals, and project materials. Track all purchases and related documents with an emphasis on cost reduction and efficiency.
  • Assist in processing invoices from vendors and subcontractors.
  • Assist the Sr. Project Administrator with preparing and distributing accounting reports to managers for their review and approval.
  • Review and process employee timesheets and expense reports. Follow-up with supervisors for final approval.
  • Support field staff and managers in managing field-testing equipment. This task includes keeping inventory of replacement supplies and ordering supplies as needed.
  • Provide administrative support for the Regional Health and Safety Representative, including compiling site-specific health and safety plans.
  • Arrange travel, lodging, conferences, and catering if needed.
  • Assist in other duties as requested.
