About The Position

The Project Administrator plays a key role in supporting project teams by managing documentation, coordinating administrative tasks, and ensuring smooth communication between stakeholders. This position works closely with Project Managers, Superintendents, and trade partners to maintain accurate records, track progress, and uphold Alten's standards for quality, safety, and sustainability.

Requirements

  • Strong organizational and time management skills with the ability to handle multiple priorities.
  • Proficiency in MS Office Suite (Word, Excel, Outlook); experience with Procore preferred.
  • Excellent verbal and written communication skills.
  • Detail-oriented with a commitment to accuracy and quality.
  • Ability to work collaboratively in a fast-paced environment and maintain a positive attitude.
  • Familiarity with construction terminology and processes is a plus.
  • Associate's degree or equivalent experience in business administration, construction management, or related field.
  • Minimum 2 years of administrative experience; construction industry experience preferred.

  • LEED GA certification is a plus.

Responsibilities

  • Assist with job site setup and maintain project logistics documentation.
  • Manage document control processes, including creating and maintaining logs for drawings, RFIs, and submittals.
  • Prepare, distribute, and track Requests for Information (RFIs) and ensure timely responses.
  • Coordinate submittal schedules, monitor scope changes, and communicate updates to the project team.
  • Maintain accurate timecard entries in Procore and support payroll reporting.
  • Track project schedules and update progress reports in collaboration with the Project Manager and Superintendent.
  • Organize and maintain project files, including safety meeting records, attendance logs, and progress photographs.
  • Support compliance with safety standards by tracking safety meetings and assisting with documentation.
  • Assist in LEED documentation and sustainability reporting requirements.
  • Review and process change orders and purchase orders under the guidance of the Project Manager.
  • Provide administrative support for contract management, insurance documentation, and warranty tracking.
