About The Position

EMH&T is seeking a Project Administrator to support our Environmental and Cultural Resources team that is home to scientists, planners, and ecological specialists who work on wetland and stream assessments, ecological restoration, NEPA compliance, permitting, landscape implementation, environmental site assessments, and more. This position combines project coordination, technical administrative support, and client-focused service to support our Environmental team in delivering high-quality work efficiently and effectively. The ideal candidate is highly organized and consistently professional, with the ability to manage multiple priorities and understand project workflows. Strong written and verbal communication skills are essential. The successful candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, maintains strict confidentiality, and brings strong writing and technical support skills to the team.

  • Minimum 7 years of administrative experience, ideally including project‑based or senior‑level support.
  • Proficiency with Microsoft Office and PDF software is required.

Nice To Haves

  • Familiarity with environmental or civil engineering terminology and processes is helpful but not required.
  • Experience in an engineering, environmental consulting, scientific, or technical services setting preferred.

Responsibilities

  • Assist Environmental staff with preparation of correspondence, permit packages, mailing lists, research tasks, and other technical administrative needs related to public involvement, environmental compliance.
  • Work with project managers to obtain, prepare, submit, and track environmental permits and support documentation, including follow‑up with agencies for approvals.
  • Initiate project numbers, maintain accurate project records and budgets, track progress against timelines, and assist in monitoring deliverables.
  • Support project development through drafting transmittals, assembling submittal packages, and assisting with basic project research and report writing and editing.
  • Attend staff meetings, create and maintain work‑in‑progress (WIP) summaries, and provide updates to senior staff on deadlines, submittals, and outstanding tasks.
  • Assist with coordinating and documenting project conference calls and web meetings, including preparing and distributing meeting agendas and minutes.
  • Provide administrative assistance including travel arrangements, scanning contracts, preparing proposal documents, maintaining electronic filing systems, and supporting project archiving efforts.
  • Provide occasional local travel support for plan delivery and occasional reception desk coverage.
