Wood is recruiting for a Project Administrator (CAPEX Specialist) to join its Operations business focusing on administrative and project support at our client site in Bay City, TX. #LI-Onsite The Role This role provides essential administrative support to ensure smooth day-to-day operations. The successful candidate will support the CAPEX Manager in the preparation and development of the annual CAPEX plan, ensure project documentation, approvals, and revisions are properly distributed to internal and external stakeholders, and track the status of lump-sum projects, ensuring visibility of commitments, actuals, and remaining budgets. Requirements

  • Strong administrative, organizational, and documentation skills
  • Working knowledge of SAP project systems (WBS, cost tracking, reporting)
  • Basic understanding of capital project cost control and scheduling
  • Ability to work across functions and support multiple projects simultaneously
  • Detail-oriented with strong follow-up and coordination skills
  • Excellent written and verbal communication skills
  • Ability to work independently and handle confidential information

Nice To Haves

  • Experience supporting project teams in engineering or industrial environments
  • Familiarity with Oracle or similar enterprise systems

Responsibilities

  • Track, log, and maintain all project initiation requests received from plant stakeholders.
  • Support the CAPEX Manager in the preparation and development of the annual CAPEX plan.
  • Support project engineers in preparing Appropriation Requests (ARs) in accordance with company approval requirements.
  • Maintain clear visibility of AR approval status, tracking each request from initiation through final approval.
  • Establish and maintain project WBS structures in SAP aligned with approved AR funding and cost distribution.
  • Provide administrative and system support to project engineers during execution.
  • Ensure project documentation, approvals, and revisions are properly distributed to internal and external stakeholders
  • Verify that all required documentation (financial, technical, and approval records) is complete prior to closure.
  • Maintain organized electronic folders for CAPEX ARs, approvals, and close-out documentation, ensuring audit readiness.
