PRIMARY FUNCTION: GenPro Energy Solutions is seeking a reliable and detail-oriented Project Administrative Assistant to support our solar construction operations. This role is responsible for managing project documentation, assisting with billing and compliance tasks, and providing general administrative support to ensure smooth and efficient project execution. The Project Administrative Assistant plays a critical role in ensuring that all administrative processes are organized, compliant, and aligned with company standards, directly contributing to the overall success and efficiency of our solar construction projects.

  • All work performed must be conducted at the corporate office. This is not a remote position
  • Ability to work during business hours (8 am - 5 pm) Monday – Friday.

Nice To Haves

  • Associate’s degree in business, office administration, accounting or construction-related field OR significant relevant experience.
  • Preferred: Bachelor's degree in business administration, accounting/finance, construction management, or similar degree
  • Minimum of 2 years’ administrative experience.

Responsibilities

  • Prepare and coordinate construction documents, including lien waivers, project files, and other project-related paperwork.
  • Assist with preparation and submission of AIA invoices and other billing documentation.
  • Support project teams with clerical and administrative tasks as requested to ensure smooth project operations.
  • Coordinate with project managers, accounting, subcontractors, and clients to collect required billing, compliance, and regulatory documents.
  • Help facilitate the signing and distribution of contract documents.
  • Assist with business licensing, registrations, and other administrative compliance requirements as needed.
  • Direct incoming phone calls and correspondence to the appropriate subject matter expert.
  • Order and maintain inventory of company supplies, ensuring project teams have necessary materials.
  • Assist guests, visitors, and vendors, directing them to the appropriate person or department.
  • Maintain organized project files and records to ensure easy access and compliance with company policies.
  • Other duties as assigned to support operational efficiency and project success.
