About The Position

Our client is seeking a highly organized Project Administrative Assistant to serve as the connective tissue between project teams, leadership, vendors, and accounting. This role plays a critical part in keeping projects moving forward—ensuring documentation, contracts, and communication stay accurate, timely, and aligned so teams can focus on delivering successful outcomes.

Requirements

  • Experience supporting projects in construction, engineering, or real estate-related environments (required)
  • Comfort managing vendor documentation (COIs, W9s, registrations)
  • Experience formatting and coordinating contracts in Adobe Sign or DocuSign
  • Ability to juggle multiple projects while maintaining strong communication
  • Familiarity with project management tools and Excel

Responsibilities

  • Act as a liaison between project teams, stakeholders, and management
  • Provide administrative and coordination support to Project Managers
  • Prepare and organize project reports, documentation, and presentations
  • Maintain accurate project files, meeting minutes, and deliverables
  • Support Accounting with AP and AR activities as needed
  • Coordinate vendor sourcing, approvals, and required documentation
  • Format and manage contracts using digital signature tools and SharePoint
