Be "The Face" of Turner & Townsend by greeting employees and visitors at the front desk. New hire support including calendar invites, welcome bags, building access cards. Manage and route incoming calls, mail pickup and notification to recipient. Conduct routine inventory of kitchen, supply closet, copy and storage rooms, and resupply as needed. General upkeep of kitchen and conference rooms. Maintain visitor badges and keep log of outstanding badges. Accept/sign for deliveries. Create FedEx for outgoing shipments. Book conference rooms, send meeting invites. Relocation, visa, project and event travel coordination. Executive Assistant backup. Vendor management. Act as liaison with building for office notifications, janitorial and A/C issues, access card maintenance, bicycle cage access. Utilize company store for event and new hire swag, PPE, staff apparel. Coordinate in-house and offsite meetings, town hall socials, career fairs, team meetings, special events, breakfasts, lunches, and happy hours. Manage internal staff communications. Support staff with printing, and miscellaneous projects. Coordination of PPE for walkthroughs, site visits. Assist IT as needed. Maintain subscriptions, publications, and memberships. Monthly AED check. Set up training for AED/CPR/First Aid. Willingness to become certified in AED/CPR/First Aid. Perform other duties assigned by manager or upper management as needed. SOX control responsibilities may be part of this role, which are to be adhered to where applicable.

Requirements

  • Excellent people skills, both internal and external.
  • Strong problem solving skills coupled with a creative, positive, can-do attitude.
  • Ability to work independently, prioritize workload, and manage time effectively.
  • Strong organizational and follow through skills.
  • Computer, software and technology familiarity, experience and aptitude (MS Outlook, Excel, PowerPoint and Word proficiency are required).
  • Written and verbal communication skills, accuracy and attention to detail.
  • Open and able to learn new programs/software (D365)
  • Team player but can also work individually
