We are looking for a detailed and reliable Event Programs Manager to be responsible for managing, organizing, and executing client meetings and programs targeting healthcare professionals in Ophthalmology, Optometry, Endocrinology, and Dermatology. The role involves overseeing a variety of events ranging from one-on-one meetings and small meal engagements to larger programs with 50-75 attendees. The Manager will play a key role in ensuring the success of the Strategic Solutions team and client satisfaction.

Requirements

  • Bachelor’s degree required.
  • 5+ years of experience in program or meeting management, preferably in the healthcare or life sciences sector.
  • Exceptional time management and organizational skills.
  • Ability to interact with clients and internal leadership professionally and effectively.
  • Strong budget management and cost-control skills.
  • Ability to work independently and collaborate within a team.
  • Ability to thrive under pressure and manage multiple projects simultaneously.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Willingness to travel and manage onsite events, including both conference-based and standalone programs.

Responsibilities

  • Serve as the primary point of contact between clients and the company post-contract execution, providing strategic guidance and support.
  • Maintain a deep understanding of client deliverables, goals, and expectations to ensure satisfaction and retention.
  • Build and nurture strong relationships with clients, ensuring clear and open communication.
  • Schedule and lead regular status meetings with clients to review progress, address issues, and identify new opportunities, with the support of upper management.
  • Track and manage client budgets to ensure cost-effectiveness and adherence to financial guidelines.
  • Provide regular project updates to internal leadership and ensure alignment with client goals.
  • Organize and execute all aspects of meetings and programs, including venue and vendor sourcing, logistics planning, attendee recruitment, and on-site coordination.
  • Oversee pre-program activities such as faculty scheduling, program outline development, slide management, survey creation, and social media coordination.
  • Negotiate contracts with vendors and suppliers to secure services within budgetary constraints.
  • Manage onsite event logistics, including venue, vendor coordination, and signage.
  • Maintain all internal and external event documentation, including conference guides, event resumes, and trackers for events and clients.
  • Manage program budgets, ensuring alignment with client objectives while remaining within financial limits.
  • Collaborate with cross-functional teams to ensure smooth coordination and execution of all event components.
  • Conduct regular internal status calls with teams and clients, providing updates on project milestones and financial performance.
