About The Position

The Programs Director is responsible for all resident activities and excursions for both independent and assisted living residents at a WellQuest Living community. The Programs Director is responsible for all programming, organizing, scheduling, budgeting, promotion, facilitating and directing the overall operations ofthe activities and excursions. Aside from doctor visits or appointments, shopping trips, church attendance, and other regularly scheduled departures from the community for which the community provides transportation, excursions should be planned weekly with the intention of exploration, creativity, enjoyment, and outings to restaurants should only be planned once a month apart from pairing it with an excursion. All responsibilities must be completed in accordance with current standards, guidelines and regulations, company policies and procedures, and as may be directed by the Executive Director to assure that an on-going program of activities, excursions and events are designed to meet the interests, desires and needs of the residents. Hire, evaluate, coordinate, monitor performance, and supervise department staff in accordance with company policy. Communicate with the Executive Director about staff evaluations, merit pay increases, reprimands, disciplinary actions, and terminations. Reports to: Executive Director. The primary responsibility is to provide an active and engaging atmosphere throughout the community through implementation of calendars created. Promote resident participation through regularly scheduled high-quality activities that offer a variety that stimulates the mind, motivates the body, and rejuvenates the spirit. This includes excursions, minimum of one special event planned, guest speakers, evening movie showings, exercise sessions in morning and afternoon, clubs, games, Silver Fox men’s club that has an offering of activities directed towards men, projects with purpose that connect residents to those outside of the community, educational classes, and other such activities monthly. Ensure activities and events acknowledge, meet, and celebrate the cultural, religious, and ethnic diversity and interests of the residents. At WellQuest Living Communities, personally meet with each new resident within seven (7) days of move-in to go over process of newsletter, transportation, scheduling appointments along with likes, dislikes for entry into LifeLoop and setting up appointment to go over fitness equipment, if applicable. Ensure that the department is staffed, and activities are planned seven days a week, transportation available a minimum of two days a week for appointments and shopping and excursions a minimum once a week. There should be no less than four (4) excursions in a month unless a driver is unavailable, or the vehicle is incapacitated. This position may require you to work weekends or a portion thereof including flexibility for an event or activity in the evening. Attempt to coordinate with other WellQuest Living communities in the area to have residents attend an excursion or rotate communities in unison and encourage connections. This can include picnics, potlucks, tournaments, clubs, or others. All excursions involve research; making reservations, purchasing tickets for events, following up with venues for confirmation, establishing pricing for excursions, previewing venues, anticipating, and meeting comfort needs of residents during excursions, creating and distributing all excursion flyers, communicating with scheduled drivers, and supplying any details or tickets needed. Create, develop, promote, coordinate, plan and attend special events held at or hosted by the community relevant to activities or directed by Executive Director unless you have arranged for appropriate coverage with assigned team member. Coordinate a “Meet & Greet Mixer” event for residents each month to socialize and connect with new residents when applicable. Actively encourage resident participation in all excursions, events and activities through monthly Activity meetings, Town Hall and during attended activities or phone calls. Actively engage in residents’ activities through personally leading activities no less than five (5) hours per week. Hire, evaluate, coordinate, motivate, monitor performance, and supervise department staff in accordance with company policy. As directed, plan, schedule, prepare and conduct staff in-services for activity personnel. Possess the ability, license, and willingness to drive community vehicle that requires standard class C license. Coordinate and schedule transportation needs of the residents. Schedule community drivers to meet these needs, if applicable. Understand and ensure driver is compliant with state regulations, documentation and educate self on the procedures of bus transportation and lift protocols. Responsible for ensuring the community vehicles are maintained in accordance with manufacturer’s recommendations and as needed. Understand and ensure compliance with all Federal (Title 22) and state regulations concerning the department. Monitor compliance with Department’s budget through the effective and timely completion of Monthly Spend Downs. Ensure compliance with company policy and procedures for proper use of Petty Cash in conjunction with performance of job duties. Ensure all necessary vendor/entertainer invoices are completed accurately, timely and in accordance with all company policies and procedures. This includes the timely and accurate completion of W-9 submissions from the vendor/entertainer when new to community. Ensure knowledge remains current regarding senior activities through completion of offered continuing education courses and networking opportunities with other community professionals. Support and work with Executive Director and Marketing Directors to assist as needed with marketing events held at the community to build the property's census. Develop, implement, and manage a “New Resident Welcome” program folder at the community that minimally includes newsletter, transportation guidelines, Lifeloop manual and log in information. Develop, implement, and manage a “Resident Birthday” program at the community that minimally includes a monthly celebration, day of acknowledgement with card and treat. Develop, recruit, manage and schedule Community Volunteers. Complete and maintain all required logs and paperwork associated with the Community’s Volunteer Program. Ensure that a Resident Council, Town Hall meetings and FoodTalk, NurseTalk and ActivityTalk are held each month. Accurately and timely perform all clerical work connected with the position (e.g., Monthly Activity Calendar and Newsletter, Connection Total to Corporate, Community TV Displays, daily agendas, movie schedules and flyers). Aid in community marketing effort through interactions with all potential residents, family members and referral sources. Greeting each and providing details of activities, events and outings offered. Collaborate with Journey Care regarding combined events, outings or activities as well as providing scheduled entertainment and outing schedule monthly. Arrange for coverage of job duties within the department during any absences either through delegation or personal completion of duties. Participate in daily “Stand-Up” meetings to communicate key activities within the department, plans for future events, issues or concerns with residents or staff. Encourage teamwork through cooperative interactions with co-workers and other departments. Support a positive and professional image through actions and dress attire. Maintain a safe and secure environment for all staff, residents, and guests, following established safety standards. Perform other duties consistent with position and/or as assigned by Executive Director or Corporate Director of Programs.

Requirements

  • CALIFORNIA – For communities licensed for sixteen (16) to forty-nine (49) persons: Must have at least six (6) months' experience in providing planned activities or be enrolled in an appropriate education or training program.
  • For communities licensed for fifty (50) or more persons: Must have one (1) year of experience in conducting group activities and be knowledgeable in evaluating residents’ needs, supervising other employees and in training volunteers.
  • Ability to perform simple mathematical calculations for preparing pricing and producing reports.
  • Understand complex issues and ability to carry out plan of action on own initiative.
  • Demonstrates sound communications skills, both verbally and written in dealing with residents, staff, families, visitors, and vendors.
  • Must be able to speak, read and write English.
  • Be proficient in basic office equipment and standard electronics and technology to accomplish and maintain a high level of job performance.
  • Good physical health verified by a health screening, including a chest x-ray or an intradermal test result not more than 6 months prior or seven (7) days after employment.
  • Be mobile and able to perform physical requirements of the job.
  • Assist in loading and unloading residents into community vehicle/van.
  • Will require physical assistance and pushing of residents during activities.
  • Displays sincere compassion towards cognitively impaired older adults.
  • Demonstrates genuine concern for the physical and emotional needs of older people and their families.
  • Employee must pass a criminal record clearance prior to beginning work in the community.
  • Employee must possess current first aid training.
  • Employee must be at least eighteen (18) years of age.
